The Estimating Coordinator plays a key support role in the success of the preconstruction process. You will be responsible for coordinating bid documents, managing subcontractor communication, and supporting the estimating team to ensure all bids are organized, complete, and submitted on time.

This is not just an administrative role, it is a foundational position within the estimating team that requires attention to detail, strong communication, and the ability to manage multiple priorities in a deadline-driven environment.

You will work closely with Estimators, Project Managers, and subcontractors, gaining exposure to the full lifecycle of preconstruction. This role offers a clear path for growth into Estimating or Project Management for individuals looking to build a long-term career in construction.

Job Duties:

  • Coordinate the distribution of plans, specifications, and addenda to subcontractors and vendors.
  • Track bid invitations, manage subcontractor outreach, and follow up to ensure adequate bid coverage.
  • Maintain and update subcontractor and supplier databases, including contact information and trade classifications.
  • Assist estimators with bid preparation, including document organization and basic quantity takeoffs.
  • Track bid deadlines and ensure all required documentation is received and submitted on time.
  • Compile, organize, and level subcontractor proposals for estimator review.
  • Prepare bid summaries, comparison sheets, and support documentation for internal review.
  • Maintain organized digital and physical filing systems for all estimating and bid-related documents.
  • Support pre-bid meetings, job walks, and communication with subcontractors.
  • Assist with post-bid activities, including project handoff to operations teams.
  • Help maintain estimating databases, historical cost data, and bid tracking logs.
  • Provide general administrative and coordination support to the estimating and preconstruction team.
