Description
Office Associate
Oversee personnel and daily operations of the Transportation Services customer service office. This position has been deemed essential as addressed in the University of Wyoming's Employee Handbook. Employees in essential positions may be required to work during emergency closures and winter closure based on the nature of their job duties and the reasons for the closure. This position involves on-call status.
Working Hours:
- Summer: 8:00 am - 5:00 pm
- Academic Year: 8:30 am - 5:30 pm
Essential Duties and Responsibilities:
- Supervise Front Desk Assistants (FDAs). Responsibilities include hiring, training, scheduling, task assignment, performance monitoring, and, when necessary, disciplinary actions or terminations.
- Oversee/provide operation of the customer-facing office by providing general receptionist duties, high quality customer service, car rental reservations, vehicle check-out/in, parking permit/citation sales, radio dispatch, prepare citation appeals, and maintain supplies and inventory.
- Utilize and maintain software and databases. Provide data entry; registered owners, customer accounts, and billing information. Assist in maintaining parking permit system set-up.
- Supervise/provide accounting duties by processing payments, corrections, refunds, reconciliation, deposits, manage payment plans, process payroll deductions, and manage 3rd party collections. Work with accounting team to prepare invoices and collect payments.
- Perform administrative tasks and projects. Analyze, process and maintain information as required.
- Prepare complex reports regarding personnel staffing and budgetary requests for personnel, supplies and equipment; perform associated analysis and interpretations.
- May perform a variety of marketing, public relations, special events, projects, and tasks.
- Provide training regarding department and University procedures; may provide computer application(s)/procedures training.
- Research problems and provide resolution(s).
- Act as liaison to Director in the absence of Assistant Director.
- Support other areas of the department as needed; prep car rental vehicles, assist with vehicle immobilization, etc.
Supplemental Functions:
- May assist with departmental budget planning process including research and provide/prepare financial reports.
- Assist with revision of forms and office procedures.

Minimum Qualifications:
- Education: High School Diploma or GED
- Experience: 2 years progressively responsible work-related experience
- Other: Valid driver's license with a motor vehicle record (MVR) compliant with the Driving for University Business SAP.

Work Location:
On-campus: This position provides vital support to campus customers, and the successful candidate must be available to work on campus.
