CHBS is a growing outpatient mental health clinic dedicated to serving the diverse needs of our community. As we expand our services to meet increasing demand, we are seeking a Client Access Representative (CAR) to join our interdisciplinary team. This part-time role is ideal for individuals who are passionate about helping others, enjoy problem-solving, and excel in fast-paced environments.

Core Responsibilities

  • Welcoming clients with warmth and professionalism, creating a safe and inviting atmosphere from the very first interaction.
  • Listening actively to understand each client's unique needs and helping them navigate the scheduling process with empathy and efficiency.
  • Identifying and resolving barriers to care, such as transportation challenges or limited access to technology, ensuring no one is left behind.
  • Processing referrals and intakes, gathering essential information from community partners, hospitals, and treatment centers to facilitate timely access to services.
  • Managing communications, including answering phones, taking messages, and coordinating with nurses, clinicians, and medical providers to ensure seamless care.
  • Handling administrative tasks, such as maintaining correspondence, generating reports, updating databases, and scheduling appointments, meetings, and events.
  • Initiating billing processes, verifying insurance coverage, obtaining authorizations, and collecting co-payments and outstanding balances.
  • Coordinating support services, including Medicaid transportation and interpreter arrangements.
  • Ensuring compliance with all relevant regulations and standards, maintaining the integrity and quality of our services.

Qualifications

  • A High School Diploma or equivalent (Associate's Degree in Office Technologies is preferred)
  • 1–3 years of experience working in a physician's office or similar healthcare setting
  • A solid understanding of Medicare/Medicaid and third-party insurance payers
  • A valid New York State Driver's License
