Billing Coordinator - New Jersey Office

A prominent law firm is seeking a Billing Coordinator to join its team in the New Jersey office. This position plays a vital role in ensuring accurate and timely billing in alignment with firm policies and client-specific guidelines.

Key Responsibilities:

  • Prepare, review, and edit client invoices in accordance with firm billing procedures and client agreements
  • Manage the end-to-end e-billing process, including submission and monitoring of electronic invoices
  • Verify accuracy of billing entries, ensuring all billable time and costs are properly recorded
  • Collaborate with attorneys, paralegals, and administrative staff to resolve discrepancies or billing issues
  • Respond to client billing inquiries and provide updates on invoice and payment status
  • Process write-offs and adjustments in line with firm policy
  • Handle complex billing structures such as split-party billing, multiple discounts by matter, and custom formats
  • Maintain a high volume of monthly billing while meeting strict deadlines
  • Ensure quality and accuracy of billing documentation and support materials
  • Develop and implement custom billing formats when needed
  • Assist in generating monthly and quarterly billing reports for internal review

Qualifications & Skills:

  • Minimum of 3 years of billing experience in a law firm or professional services environment
  • Proficiency in billing software such as Elite 3E, Aderant, or similar platforms
  • Strong working knowledge of Microsoft Office Suite, particularly Excel and Word
  • Exceptional organizational skills and the ability to prioritize and multi-task effectively
  • Strong attention to detail with a focus on accuracy and quality
  • Ability to perform efficiently in a fast-paced, dynamic environment and adapt to changing priorities
  • Self-motivated with the ability to work independently and proactively follow through on assignments
  • Excellent communication skills and the ability to interact professionally with attorneys, clients, and support staff
  • Flexibility to work extended hours, including evenings or weekends, as needed
