Our Administrative Assistant oversees routine and advanced duties for other professionals by working with administrators and other employees to organize files, create correspondence and prepare reports or documents. An administrative assistant may also be responsible for helping to plan events and managing their supervisors' schedules. By completing a range of clerical tasks, it helps ensure the smooth operation of the office and supports team efficiency at multiple locations. This is a full-time onsite position based out of our Wakefield, MA office.

How you'll make an impact:

  • General Office: Perform various administrative tasks such as data entry, generate regularly scheduled reports, maintain and order office supplies and equipment
  • Welcome, assist and be the point of contact for employees, clients, vendors, and other external parties to maintain positive relationships
  • Assist with the coordination and execution of events and projects
  • Provide support to various team members, projects, and departments
  • Ensuring the office remains clean, organized, and presentable for both employees, clients, vendors and other external parties
  • Continuously improving administrative processes and procedures to enhance efficiency and productivity within the office
  • Manage schedules, appointments, and meetings for advisors or managers, ensuring smooth daily operations using the CRM and Outlook
  • Coordinate meeting logistics, scheduling and confirming appointments
  • Manage client relationships via courtesy calls, birthday cards, referral gifts, flowers, etc. (as requested)
  • Phones: Responsible for answering phones, directing inquiries to the appropriate person or department
  • Retrieving voice mail messages and distribution
  • Assisting clients with documents or requests

About You:

Required: High school diploma and 5 years of related experience required. Incumbents in this position possess excellent organizational skills and can handle multiple tasks, simultaneously. Proficiency in Microsoft Office (Word, Excel and Outlook) is required.
