Compensation Range: $42,841.50 - $64,272.00

Job Summary
  • Working independently and with limited supervision, the Executive Secretary provides support to the Commissioners, County Administrator/Chief Clerk and Deputy Chief Clerk, handling a variety of non-routine, highly responsible, confidential tasks.
Reporting Relationships
  • Reports directly to the Deputy Chief Clerk.
  • This position does not supervise any personnel.
Essential Job Functions
  • Provide primary administrative support for County Commissioner, which includes scheduling appointments, events and meetings; prioritizing schedules to avoid conflicts.
  • Act as recording secretary, taking minutes for the Board of Commissioner weekly work sessions and other meetings as required. Accurate documentation is a must. Proofread agendas, motions, resolutions and completed minutes to ensure concise information that follows policy and format.
  • Communicate with department heads, elected officials, legislators, boards, committees, governmental agencies, citizens and County employees. Disseminate information and resolve discrepancies related to assigned work regarding a variety of subjects.
  • Coordinate scheduling of events, rooms, meetings, etc., in order to accommodate various events, meetings, ceremonies, etc.
  • Provide backup coverage for other assistants as needed.
  • Prepare proclamations and Letters of Commendation as requested for the BOC.
  • Make recommendations regarding policy and procedure using established county guidelines.
  • Work collaboratively with the administrative team to develop standard office procedures for the Commissioners' Office.
Other Specific Tasks or Duties
  • Other duties as assigned to fulfill the mission of the Commissioners' Office.
Minimum Qualifications
  • High school diploma and at least five years of work experience where demands are complex and involve resolution of problems; or,
  • Having obtained business school and/or college credits and are able to excel in the organization of complex information.
Knowledge, Skills, and Abilities
  • Must be computer literate and possess strong communication skills (both verbal and written)
  • Be able to prioritize and maintain a busy workload in a fast-paced environment while ensuring accuracy, efficiency and attention to detail.
  • Knowledge of Microsoft Office Suite required.
  • Knowledge of PeopleSoft preferred.
  • Prior experience transcribing minutes preferred.
  • A basic understanding of local, state, and federal government operations is preferred.
Required Licenses/Certifications/Clearances
  • Preemployment background check, drug testing and driver records check as required by law or policy to perform the duties.
Physical Requirements/Work Environment
  • Ability to sit for long periods of time. Work is primarily sedentary in nature; no special demands are required.
  • Light lifting of boxes at times when necessary.
