Nature of Work

Under supervision performs work of moderate difficulty in recording court proceedings, processing and distributing court documents; performs related duties as assigned.

Typical Duties

  • Processes and distributes confidential documents
  • Manages case files
  • Attends, prepares documents and summarizes decisions reached in court hearings
  • Processes and distributes judicial orders and legal documents at the direction of the Judge
  • Updates Court and Judge's calendars based on court orders
  • Schedules court hearings and trials
  • Processes case information into software system
  • Completes minute entry from court hearings and trial proceedings
  • Certifies documents
  • Coordinates deliberation rooms for Jury Trials
  • Prepares and transfers bind over felony cases to Superior Court
  • Assists in training staff

Essential functions of this position include but are not limited to: standing, walking, sitting, crouching, stooping, kneeling, reaching and bending to file; working at heights (step ladder) to retrieve files; crawling to reach bottom row files; twisting (working with computers and files); lifting (up to 30 lbs.); Carrying (up to 25 lbs.); pushing/ pulling (up to 25 lbs.) boxes of files; working with and around co-workers and public; dealing with interruptions; repetitive motion (hand-wrist) for typing; repetitive motion (elbow-shoulder) lifting and filing; finger dexterity. Environmental factors include working around noise and heights.

Minimum Qualifications

Three years of progressively responsible clerical work: OR

Associate's degree in a related field and two years of progressively responsible clerical work experience in a Justice Court environment; OR

Any equivalent combination of education, training and experience which demonstrates the ability to perform the duties of the position.

Knowledge, Skills and Abilities

Considerable knowledge of:

-Use of modern office practices, procedures and equipment -Justice Court terms and definitions -Business English and spelling

Working knowledge of:

-Arizona statutes and Rules of Procedure -Court and legal terminology and procedures -Computer applications

Ability to:

-Make decisions in accordance with regulations, policies and procedures -Maintain confidentiality -Perform complex paperwork processing and calendaring tasks with accuracy in courtroom environment -Meet deadlines -Accurately maintain records and prepare reports -Work safely and support the culture of workplace safety -Establish and maintain effective working relationships with employees, other agencies and the public -Follow written and verbal instructions -Communicate effectively verbally and in writing
