Executive Assistant To The Global Corporate Controller
The Executive Assistant To The Global Corporate Controller is a highly trusted strategic partner who serves as an extension of finance leadership within a complex, global, and publicly traded organization. This role goes beyond traditional executive support, enabling the Global Corporate Controller to operate with focus, precision, and impact across financial close, reporting, controls, compliance, and transformation initiatives.
Operating with a high degree of autonomy, sound judgment, and discretion, the Executive Assistant proactively anticipates needs, connects priorities across Finance, Internal Audit, Tax, Treasury, and external stakeholders, and ensures seamless execution of the global controllership agenda. This individual balances executive presence with operational rigor and serves as a role model within the broader Business Support community.
Essential Duties & Responsibilities
- Serve as a strategic thought partner to the Global Corporate Controller, enabling focus on the highest‑priority business, reporting, and compliance initiatives through forward‑looking planning and sequencing.
- Maintain deep awareness of the global finance calendar, including close cycles, SEC reporting timelines, audits, and major finance initiatives.
- Act with autonomy and discretion on behalf of the Global Corporate Controller, exercising judgment in communications, prioritization, and issue escalation.
- Identify risks, dependencies, and timing conflicts across Finance, proactively flagging and helping resolve issues before they impact deliverables.
- Own complex, global calendar management with a strategic lens, balancing recurring financial cadence (monthly close, quarterly reporting) with long‑range planning activities.
- Proactively prepare the Global Corporate Controller for meetings by ensuring agendas, materials, financial context, and decision points are clear and aligned.
- Establish and maintain systems to track milestones, deliverables, approvals, and executive communications across the global controllership organization.
- Coordinate logistics for key finance reviews, leadership meetings, audit sessions, and Board or Audit Committee‑related activities as needed.
- Prepare, edit, and elevate executive‑level materials including presentations, briefing documents, finance updates, and internal communications.
- Synthesize information from Accounting, Finance Operations, Internal Audit, and external advisors to support executive decision‑making and readiness.
- Ensure clarity, accuracy, and professionalism in all materials, reflecting the standards of a public company finance organization.
- Represent the Global Corporate Controller with credibility and professionalism to senior leaders and critical stakeholders.
- Manage travel, expenses, and invoices with exceptional accuracy, compliance, and fiscal discipline.
- Track spending trends, flag anomalies, and partner with Finance Operations as needed.
- Liaise closely with Finance leadership, HR, Legal, and Operations teams to ensure smooth execution of administrative and operational processes.
- Identify opportunities to streamline workflows, improve efficiency, and enhance executive effectiveness within Finance.
- Serve as a cultural steward within the Finance organization, supporting engagement initiatives, leadership meetings, and team offsites.
- Collaborate with other Finance and Corporate Executive Assistants to ensure continuity and coverage.
- Coordinate onboarding and integration for new finance leaders and senior hires within the controllership organization.
- Lead and support special projects related to finance transformation, organizational change, and cross‑functional initiatives.
- Navigate ambiguity with confidence, assess broader implications, and propose practical solutions to non‑routine challenges.
- Anticipate patterns and themes across Finance operations and proactively recommend improvements.
Experience, Skills & Knowledge
Significant experience supporting senior leaders in a complex, fast‑paced, and preferably global or publicly traded organization. Demonstrated progression in scope, autonomy, and strategic impact within an Executive Assistant or senior business support role. Experience supporting Finance, Accounting, or related corporate functions strongly preferred.
- Advanced proficiency in Microsoft Outlook, PowerPoint, Excel, and Word; ability to produce polished, finance‑ready executive materials. Leverage enterprise systems and collaboration tools to enable visibility, tracking, and efficiency across global finance activities
- Exceptional organizational skills, attention to detail, and follow‑through.
- Strong business and financial acumen with the ability to understand how controllership priorities connect across the enterprise.
- Proven ability to anticipate needs, operate independently, and exercise sound judgment.
- High emotional intelligence, professionalism, and discretion in handling confidential, sensitive, and material information.
- Flexibility to support a global executive across multiple time zones as required
- Acts as a trusted partner to senior finance leaders and a respected resource to peers.
- Communicates clearly and effectively across levels, cultures, and functions with tact and diplomacy.
- Comfortable navigating ambiguity, fast timelines, and high accountability environments.
