TITLE: Secretary to the Director of Teaching and Learning

REPORTS TO: Director of Teaching and Learning

AVAILABLE: June 30, 2026

TERMS OF EMPLOYMENT: 12-month full-time position, hourly compensation, in accordance with the PESPA Collective Bargaining Agreement

PRINCIPLE FUNCTION: To provide administrative support to the Director of Teaching and Learning

ESSENTIAL DUTIES:

  1. Serve as initial contact with the public and the staff on all matters relating to communication with the Director of Teaching and Learning.
  2. Maintain a schedule of appointments for the Director of Teaching and Learning. Make arrangements for meetings and workshops and distribute agendas and relevant notices as required.
  3. Facilitate the flow of information into, within and out of the Curriculum Office to ensure effective communication.
  4. Prepare publications and reports generated by the Director of Teaching and Learning and distribute as required.
  5. Process documents and draft routine correspondence and agendas.
  6. Create and maintain a regular filing system for the Curriculum Office to provide for the easy and timely location of correspondence and other documents.
  7. Assist in the construction and management of the budget for the Curriculum Office, including, but not limited to, maintaining an inventory of office machines, equipment and supplies.
  8. Maintain extensive information and curriculum files for the District and make such files available to authorized individuals.
  9. Create and maintain databases essential to fulfilling the responsibilities of the Curriculum Office, including, but not limited to, district textbook and trade book information, staff participation in summer projects, test results data, and test administration accommodation information as required.
  10. View and record minutes of School Board Curriculum Committee Meetings with 24 hours of the meeting to record proceedings, and prepare, distribute, and maintain a file of committee's records.
  11. Work closely with administrative personnel in compiling and providing necessary data for the proper development of plans, programs, grants and state reports.
  12. Obtain and organize pertinent data as needed and present it in usable form.
  13. Assist with the preparation and coordination of District-wide test administration by securing and distributing required test materials to schools. Verify that tests are completed and packaged for return delivery as directed.
  14. Facilitate the student accounting demographic information computer file upload for PSSA testing via the web, including all subsequent additions and changes.
  15. Update and maintain Curriculum Office website.
  16. Processes and manages purchase orders for departmental needs, ensuring accuracy and timely submission.
  17. Maintains and updates records with the Unified Talent system, including running reports and supporting personnel related data needs.
  18. Coordinates registration, logistics and communication for staff attendance at conventions and conferences.
  19. Tracks and processes mileage reimbursement for all professional staff in accordance with district procedures.
  20. Maintains accurate records of flex time and time sheets for all staff members, ensuring compliance with district guidelines.
  21. Provides administrative support across multiple departments, effectively managing priorities and ensuring efficient day-to-day operations of the department.
  22. Maintain confidentiality while handling sensitive information related to personnel, students, and district initiatives.
  23. Serves and a liaison between the Director, district administrators, staff, and external stakeholders.
  24. Organizes and supports professional development logistics, including scheduling, materials preparation, and communication with presenters and participants.

REQUIREMENTS:

  1. High School Diploma. Associates Degree in Business or a related field preferred.
  2. Two (2) years of post-secondary education and three (3) years experience as an administrative secretary, preferably in a school district, or five (5) years experience in a position of comparable responsibility.
  3. Strong interpersonal and communication skills.
  4. Strong organizational, planning and problem-solving skills.
  5. Computer expertise with integrated applications; e.g., word processing, database and spreadsheet, graphics, and programming ability to create websites (HTML).
  6. Comprehensive awareness of office procedures and administrative functions, as well as exceptional skills in all areas of secretarial work, including, but not limited to, correspondence composition.
  7. Any additional or alternative qualifications as deemed appropriate by the Board of School Directors.

PRE-EMPLOYMENT REQUIREMENTS: Clearances must be done within 12 months and the TB less than 90 days upon hiring

PHYSICAL REQUIREMENTS: (Choose one of the following.)

SEDENTARY: involves sitting most of the time. The incumbent should be able to exert up to 10 lbs. of force occasionally, and/or a negligible amount of force constantly to lift, carry, push, pull or move objects.

LIGHT WORK: If the use of arm and/or leg control requires exertion of forces greater than that for sedentary work and the individual sits most of the time, the job is rated for light work. The incumbent should be able to exert up to 20 lbs of force occasionally, and/or up to 10 lbs of force frequently, and/or a negligible amount of force constantly to move objects.

MEDIUM WORK: The incumbent should be able to exert up to 50 lbs of force occasionally,
and/or up to 20 lbs of force frequently, and/or up to 10 lbs of force constantly to move objects.

HEAVY WORK: The incumbent should be able to exert up to 75 lbs of force occasionally, and/or up to 50 lbs of force frequently, and/or up to 20 lbs of force constantly to move objects.

VERY HEAVY WORK: The incumbent should be able to exert in excess of 100 lbs of force
occasionally, and in excess of 50 lbs of force frequently, and in excess of 20 lbs of force
constantly to move objects.
