Job Title: Inventory Control Specialist / Warehouse Coordinator
Department: Supply Chain / Operations
Reports To: Director / VP of Supply Chain
Location: Branch or Regional (with corporate interaction)

Position Summary

Responsible for maintaining inventory accuracy, supporting warehouse operations, and ensuring readiness of materials and equipment across ATI branch locations. This role directly impacts job costing accuracy, revenue recognition timing, and operational efficiency through disciplined inventory control, system execution, and logistics coordination.

Core Responsibilities

1. Inventory Control & Accuracy

  • Maintain accurate inventory records within Microsoft Dynamics 365 (D365).
  • Process daily Project Item Journals to allocate materials to jobs and adjust inventory balances.
  • Execute monthly inventory reconciliation processes for branch warehouses.
  • Identify and resolve inventory discrepancies, variances, and shrinkage issues.
  • Support cycle counting programs and annual physical inventories.
  • Ensure proper item setup, categorization, and inventory nomenclature alignment.

2. Warehouse Operations

  • Maintain organized, labeled, and standardized warehouse layout (rack structure, item labeling, bin locations).
  • Ensure cleanliness, safety, and operational readiness of warehouse facilities.
  • Oversee receiving processes:
    • Validate deliveries against purchase orders
    • Ensure timely PO receipt in system
  • Support efficient picking, staging, and issuing of materials to jobs.
  • Enforce inventory control procedures and warehouse best practices.

3. Job Costing & Operational Integration

  • Translate field usage (Daily Forms / work orders) into system transactions.
  • Ensure materials used on jobs are:
    • Accurately recorded
    • Timely posted to jobs
  • Support faster revenue recognition through timely cost allocation.
  • Partner with Project Managers and field teams to ensure material tracking compliance.

4. Equipment & Asset Tracking

  • Track and maintain accountability for ATI equipment including:
    • Dehumidifiers, air movers, air scrubbers
    • Generators, trailers, specialty equipment
  • Maintain equipment data across tracking systems such as:
    • Salesforce
    • Monday.com
    • Equipment tracking platforms (e.g., Promatic, Assured Complete)
  • Support equipment audits and annual inventory validation.
  • Monitor equipment readiness for CAT (catastrophe) response.

5. Logistics & Coordination

  • Coordinate transfer of materials and equipment between branches.
  • Schedule freight, LTL shipments, and third-party logistics support.
  • Support CAT deployments including staging and movement of trailers and equipment.
  • Track and manage logistics timelines to meet operational demands.

6. Vendor & Procurement Support

  • Assist in sourcing materials and equipment through approved vendors.
  • Validate product specifications, part numbers, and availability.
  • Support procurement processes by ensuring accurate receiving and documentation.
  • Coordinate with suppliers on delivery status and discrepancies.

7. Training & Branch Support

  • Train branch personnel on:
    • Inventory procedures
    • Receiving and PO processes
    • System usage (D365, tracking tools)
  • Act as subject matter resource for inventory and warehouse operations.
  • Reinforce compliance with ATI supply chain standards.

8. CAT (Catastrophe) Readiness

  • Maintain inventory levels for emergency response equipment.
  • Support inspection and readiness of CAT trailers and assets.
  • Coordinate rapid deployment logistics during CAT events.
  • Operate in high-demand environments while maintaining inventory discipline.

Daily / Weekly / Monthly Activities

  • Daily
    • Process Project Item Journals in D365
    • Receive purchase orders after delivery
    • Respond to operational requests (email/phone)
  • Weekly
    • Update equipment tracking systems (trailers, generators, assets)
    • Coordinate inter-branch equipment movement
  • Monthly
    • Collect and reconcile inventory from assigned branches
    • Upload finalized inventory into D365
    • Review upcoming equipment inspections
  • Annual
    • Support full physical inventory and equipment audits

Required Qualifications

  • 3-5+ years in warehouse, inventory control, or logistics role
  • Experience with ERP systems (D365 preferred)
  • Strong understanding of inventory management principles
  • Experience in construction, restoration, or field operations preferred
  • Proficiency in Excel and data management
