Sheepgate Intake Coordinator

Sheepgate Intake Coordinator Reports to: Program Director Department: Regional Location: Colfax, IA Hours: Full-time, Salaried (40 hrs/week) Position Summary Program Staff serve on the front lines of ministry - overseeing daily student life, modeling Christ-centered living, and helping guide students through growth and transformation. The Intake Coordinator leads all aspects of the admissions process, serving as the primary point of contact for prospective students and their families. This role ensures a clear, organized, and compassionate intake experience while helping identify candidates who are ready to engage in the program.

Key Responsibilities

  • Intake Coordination
    • Serve as the primary contact for individuals inquiring about the program
    • Clearly communicate program expectations, requirements, and next steps
    • Follow up with applicants and conduct interviews to assess readiness
    • Coordinate intake with families, medical providers, and legal contacts as needed
    • Facilitate orientation for all incoming students
    • Maintain accurate and up-to-date records (paper and digital) throughout the intake process
    • Communicate intake details to staff and transition records to active student files
    • Build and maintain relationships with referral partners (jails, prisons, shelters, and social service agencies)
  • Student Ministry
    • Provide direct support, mentorship, and accountability to students
    • Oversee daily schedules, activities, and responsibilities of the student body
    • Carry out individualized action plans under the direction of the Program Director
    • Perform roll calls and ensure student participation in assigned activities
    • Transport students to appointments as needed
    • Lead student work crews on and off campus
    • Serve as a consistent and positive example of spiritual growth
  • Administrative Responsibilities
    • Maintain organized and compliant student records in line with accreditation standards
    • Assist with phone coverage and communication as needed
    • Support ongoing process improvement for efficiency and effectiveness
    • Participate in weekly staff meetings
    • Respond to student needs including med calls, communication, and daily support
    • Complete additional administrative tasks as assigned
  • Culture & Leadership
    • Uphold and model the mission, values, and culture of the ministry
    • Lead by example in spiritual life, relationships, stewardship, and time management
    • Help create an environment that promotes growth, accountability, and transformation
  • Financial & Facility Support
    • Track and record student finances according to policy
    • Assist with maintaining campus facilities, ensuring safety and appearance standards are met

Requirements Qualifications Education: High school diploma or equivalent required Experience & Skills: Strong communication and interpersonal skills Organized and detail-oriented Ability to manage multiple responsibilities in a structured environment Proficient in Microsoft Office and general computer systems Self-motivated, dependable, and adaptable Team-oriented with a positive, teachable attitude Core Competencies: Integrity and professionalism Compassion balanced with accountability Strong problem-solving and decision-making skills Ability to work under pressure and within structured schedules Cultural Fit: Must support and actively live out the mission and values of the ministry Ability to build relationships and foster personal and spiritual growth in others Other Requirements: Flexible schedule including evenings and weekends Willingness to assist in areas outside primary responsibilities Must pass background screening per accreditation standards Working Conditions Work may include a combination of office, residential, outdoor, and vehicle-based responsibilities. Evening and weekend shifts are required. Physical Requirements Ability to perform physical tasks including standing, walking, driving, lifting (occasionally 50+ lbs), and general movement required for daily operations.
