Purpose

Divergent is seeking a highly organized, proactive Executive Assistant to support daily operations and help leadership and teams maintain efficiency in a fast-paced, innovation-driven environment. The Assistant will coordinate administrative tasks, manage schedules, support communication across departments, and ensure smooth execution of internal processes.

This role requires exceptional organizational skills, attention to detail, and the ability to anticipate needs before they arise.

The Role

Administrative Support

  • Manage calendars, meetings, and travel arrangements for leadership or assigned teams
  • Organize documents, reports, and internal communications
  • Prepare meeting agendas and briefings

Operations Coordination

  • Assist with project tracking and task coordination across teams
  • Support operational workflows and ensure deadlines are met
  • Maintain internal systems, files, and records

Communication Management

  • Serve as a point of contact between executives, team members, and external partners
  • Draft emails, reports, and internal updates
  • Ensure timely communication across departments

Event & Logistics Support

  • Coordinate internal meetings, workshops, and events
  • Assist with logistics for team gatherings or client visits

Process Improvement

  • Identify opportunities to improve workflows and administrative systems
  • Support implementation of productivity tools and best practices

Basic Qualifications

  • Ability to lawfully access information and technology that is subject to US export controls
  • 2+ years of administrative, executive support, or operations experience
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • High proficiency with productivity tools (Google Workspace, Microsoft Office, project management software)

Preferred Qualifications

  • Experience supporting leadership teams or startup environments
  • Familiarity with project management platforms (Asana, Notion, Monday, etc.)
  • Ability to manage multiple priorities in fast-moving environments

Pay Range

$32 - $44 USD
