Hospitality Purveyors International (HPI) is the exclusive design and procurement arm for all Sandals Resorts International properties which are wholly-owned and managed resorts .
About the Position:
The FF&E Coordinator is a detail-oriented, proactive, and design-savvy individual with interior design background. This role is ideal for someone early in their design career with a passion for materials, furnishings, and innovative design solutions for the hospitality industry. The FF&E Coordinator will play a key role in supporting the design team through the management of the materials library, vendor relations, and the coordination of special product development programs.
Roles and Responsibilities:
Library & Vendor Management
Maintain and organize the materials and finishes library, ensuring samples and binders are up to date.
Contact vendors to request updated binders, samples, and catalogs as needed.
Curate and update the vendor contact spreadsheet with relevant contact info, sustainability criteria, and product notes based on project feedback and hotel operations input. This will entail a close collaboration with the Director of Design, Design Managers and Senior Designers.
Vendor Engagement
Manage the FF&E vendor “Lunch & Learn” program, coordinating with vendors and scheduling sessions.
Collaborate with the Design Director to curate and select vendor presentations that align with firm goals and project needs.
Capture and document information on regional/local vendors to improve sourcing efficiency, reduce lead times, and support high-quality project outcomes. This will be a liaison between HPID’s leadership and Strategic Sourcing.
Material & Product Research
Research and propose innovative and durable materials suitable for high-use hospitality environments, with a focus on sustainability and regional availability.
Track material and product pricing to ensure alignment with target budgets. Example of this would be the fabric cheat sheet tracker.
Team Collaboration & Project Support
Meet weekly with the Design Director and Design Managers to report on vendor updates, materials sourcing, and support special program development. Examples of these are programs such as; rug program, accessories program, plantes program, art program, etc.
Support documentation and tracking for FF&E selections with respecting reporting requirements via Fohlio.
Qualifications and Experience:
Degree in Interior Design, Architecture, or related field.
1–2 years of experience in an interior design, FF&E, or procurement support role (internship experience acceptable).
Knowledge of hospitality design standards, materials, and product specifications.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills for vendor and team collaboration.
Proficiency in Microsoft Excel, Adobe Creative Suite, and familiarity with FF&E documentation tools.
Interest in sustainable design practices and innovative materials.
WORK ENVIRONMENT:
Office Hours: Standard office hours are Monday to Friday, 7:00 am to 4:00 pm or 9:00 am to 6:00 pm.
Physical Demands: Moving furniture, etc., when on project installations. Job sites can include hardhat construction conditions.
Travel Requirements: Travel to the Caribbean is required to assist senior team members in resort inspections and project installations. Frequency of travel as required by Sandals Resorts International (SRI) and HPID Directors and may include weekends and holidays. A valid passport is required to travel to the Caribbean.
