Executive Assistant To The Chief School Financial Officer

The Executive Assistant to the Chief School Financial Officer provides high-level administrative, organizational, and confidential support to the CSFO. This position plays a critical role in ensuring the efficient operation of the Finance Department by managing communications, coordinating financial documentation, supporting reporting processes, and serving as a liaison between the CSFO and internal and external stakeholders.

Essential Duties and Responsibilities
  • Provide direct administrative support to the CSFO, including, but not limited to: calendar management; scheduling meetings, and coordinating travel arrangements.
  • Assist with financial reporting processes, procedures, and financial tracking
  • Maintain confidential financial records in compliance with district, state, and federal regulations.
  • Assist in preparation of board agenda items and supporting financial documentation.
  • Serve as liaison between the CSFO and internal/external customers.
  • Track and follow-up on action items.
  • Monitor and prioritize incoming communications and respond on behalf of the CSFO as directed.
  • Prepare and distribute information as directed by the CSFO
  • Maintain organized electronic and physical filing systems.
  • Conduct research and compile applicable documentation.
  • Ensure compliance with district policies and financial procedures.
  • Perform other duties as assigned by the CSFO.
Qualifications
  • Associate's degree or Bachelor's degree preferred (Business Administration, Accounting, or related field).
  • Minimum of 3–5 years of executive-level administrative experience in a school district or governmental finance setting preferred.
  • Strong knowledge of office management systems and procedures.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Ability to handle confidential and sensitive information with discretion.
  • Strong organizational, time management, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Knowledge of school finance software systems preferred.
