Job Title: Dental Treatment Coordinator
Location: Menomonie, WI
Department: Administration
Reports To: Office Manager
Employment Type: Full-Time
Schedule: Monday - Friday

Position Summary:
The Treatment Coordinator is responsible for helping patients understand and move forward with their recommended dental care. This role focuses on presenting treatment plans, discussing financial options, and ensuring a smooth transition from diagnosis to scheduled treatment.
This position works closely with the clinical team to support case acceptance while delivering a clear, supportive, and professional patient experience.
Key Responsibilities
Treatment Presentation & Case Acceptance
- Review and present treatment plans in a clear, patient-friendly manner
- Educate patients on procedures, benefits, and expected outcomes
- Answer questions and address concerns to help patients make informed decisions
- Follow up with patients who have unscheduled or pending treatment
Patient Communication
- Serve as a point of contact for patients regarding treatment plans
- Build trust and confidence through clear and professional communication
- Ensure patients feel informed and comfortable moving forward with care
Financial Coordination
- Explain treatment costs, insurance coverage, and out-of-pocket expenses
- Present payment options and financing solutions
- Coordinate financial arrangements prior to treatment when appropriate
Scheduling & Treatment Coordination
- Schedule accepted treatment efficiently and accurately
- Coordinate with clinical team to align provider availability and patient needs
- Maintain an organized treatment schedule and minimize gaps
Administrative Support
- Maintain accurate patient records and treatment notes
- Track unscheduled treatment and follow-up activity
- Support front office operations as needed
Office Support & Compliance
- Follow HIPAA and office privacy policies at all times
- Contribute to a positive, team-oriented work environment
- Assist with additional tasks as needed to support office operations
Qualifications & Skills
Required
- High school diploma or equivalent
- Strong communication and interpersonal skills
- Ability to present information clearly and confidently
- Organized and detail-oriented with strong follow-through
- Comfortable discussing financial information with patients
Preferred
- 2+ years of dental or healthcare experience
- Experience presenting treatment plans or working in a patient-facing role
- Knowledge of dental procedures and terminology
- Familiarity with dental insurance and billing processes
- Experience with dental software (Dentrix, Eaglesoft, etc.)
