Description
Join a dynamic healthcare team in the Pacific Northwest region as an Administrative Program Specialist I. This role is essential in coordinating and managing administrative tasks related to patient care within a designated clinical service line. You will be the primary contact for patients, assisting with appointment scheduling, providing information about clinical services and insurance processes, submitting orders, processing referrals, and ensuring a seamless patient experience.
Key Responsibilities:
- Schedule appointments, consultations, and follow-ups for patients within assigned service lines.
- Collaborate with patient access teams, providers, technicians, and clinical staff to optimize scheduling and resource utilization.
- Coordinate durable medical equipment (DME) needs as required.
- Communicate appointment details and preparation instructions clearly to patients.
- Serve as an expert on patient access workflows, addressing inquiries and ensuring effective communication.
- Educate patients on procedures, policies, and expected outcomes.
- Maintain accurate and confidential patient records.
- Manage referrals and authorizations, including insurance verifications and pre-certifications.
- Monitor referral and authorization expirations and proactively seek extensions.
- Support department initiatives such as waitlist management and special projects.
- Collaborate with healthcare providers and staff to ensure coordinated patient care.
- Perform follow-ups with patients regarding test results, orders, and questions.
- Adhere to established policies, procedures, and regulatory requirements while delivering excellent service.
Education and Experience:
- High school diploma or equivalent required; Associate Degree preferred.
- Knowledge of medical terminology and familiarity with medical insurance processes including verification and authorization.
- Proficiency with electronic medical records (EMR) systems and office software applications.
Skills and Abilities:
- Strong organizational skills with the ability to prioritize and adapt to changing demands.
- Effective written and verbal communication skills tailored to diverse audiences.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) at an intermediate to advanced level.
- Ability to handle confidential information with discretion and maintain accurate documentation.
- Demonstrated teamwork, collaboration, and customer service skills in a fast-paced environment.
- Independent problem-solving, good judgment, and time management capabilities.
Work Environment: This full-time position involves 8-hour shifts within a 40-hour workweek. The role supports a mission-driven healthcare organization dedicated to providing compassionate care to the community.
