Description
The Intake Specialist is the first point of contact for prospective clients and contributes greatly to the first impression of the firm. Intake is responsible for gathering information from new and prospective clients for the law firm. By screening claims, a specialist allows attorneys and other members of your team to focus on their cases, improving the productivity of our firm.
Duties/Responsibilities:
- Speaking with individuals to get their personal (medical, mental or legal) history and ascertaining their mental and physical state
- Using the gathered information to guide them to the right service, department or office
- Obtaining emergency contact information
- Coordinating schedules, appointments and travel for clients
- Obtaining insurance or billing information and setting up claims when applicable
- Processing paperwork
- Ensuring forms have the proper signatures and that they're filled out correctly
- Answering and taking notes of incoming inquiries via phone, fax or email
- Following up with clients and sharing vital information
- Keeping all information confidential
Required Skills/Abilities:
- Basic knowledge of legal terminology, intake processes, and best practices
- Excellent verbal and written communication skills.
- Excellent interpersonal skills in a variety of situations.
- Excellent work ethic.
- Attentive to detail and reliable.
- Proficient with Microsoft office suite, internet, and learning new systems and software
- Highly organized and detailed-oriented
- Exceptional time management skills with the ability to complete tasks with conflicting deadlines
- Excellent customer service skills with the ability to relay empathy for others' situations
- Excellent judgement with the ability to work under limited supervision
- Ability to work effectively as part of a team and as an individual contributor
- Bilingual(English/Spanish) - read/write/speak
Education and Experience:
- High School Diploma or GED; Bachelor's degree preferred
- One (1) more years of experience performing intakes for a law firm or similar job experience
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Two-week training at our Katy location. After training employees will report daily to the Houston office.
- Must be able to lift up to 15 pounds at times.
