Summary of Position
This position performs general administrative work for the Vice Chancellor Finance and Administration. The incumbent liaises both within and outside the division, and coordinates and supports the implementation of policies and procedures for division as a whole. The position also provides administrative support to the Marketing department.
Education and Experience
High School Diploma or GED required with 10 years of administrative experience OR Associate degree from a nationally, regionally or identified at the state level accredited institution of higher education with three years of administrative experience required
Knowledge Skills and Ability
- Proficiency in Microsoft Office software, including MS Word, Excel, PowerPoint and Outlook.
- Ability to learn new software programs such as Ellucian Colleague, Eagle Self Service, E-trieve Forms, PeopleAdmin, including AI tools.
- Must have excellent written and oral communication skills.
- Ability to interact effectively with the public, Board of Trustees, Executive Officers and all levels of employees.
- Ability to self-start various projects, set priorities, meet deadlines, and multi-task.
- Ability to maintain confidentiality of all information.
- Willingness to be a "team player" for the success of the entire division.
- Punctuality and record of superior attendance.

Essential Functions
- Provide administrative support to the Vice Chancellor Finance and Administration to include: answering telephone calls, assisting visitors, typing and reviewing correspondence, documents, appropriate forms and various statistical financial data, processing mail, filing, copying, and ordering department supplies.
- Schedule all appointments, meetings and functions for the Vice Chancellor.
- Coordinate with the Office of the Chancellor for preparation of monthly Board meeting agenda items and/or Board documents.
- Receive airline electronic tickets and ensure appropriate approval and documentation has been obtained and provided to accounts payable.
- Oversee the college credit card program.
- Process all forms or checks requiring approval by the Vice Chancellor, Finance and Administration.
- Coordinate travel arrangements and prepare necessary travel authorizations.
- Assistant to the Vice Chancellor in the preparation of procedural documents, board documents, flow down documents, and SACSCOC.
- Assist external auditors and internal auditor in information gathering and document preparation of annual financial statements of the college.
- Provide administrative support to the Marketing department to include: answering telephone calls, typing correspondence, ordering supplies, initiating requisitions, processing invoices, processing travel authorizations, and other administrative support tasks as needed.
