About the Role:

The Administrative Assistant I plays a crucial role in supporting the operational efficiency of construction projects and office functions within the construction industry. This position is responsible for managing a variety of administrative tasks that ensure smooth communication and coordination among project teams, vendors, and clients. The role requires meticulous attention to detail to maintain accurate records, prepare reports, and handle correspondence that supports project timelines and compliance requirements. The Administrative Assistant I serves as a key point of contact for internal and external stakeholders, facilitating information flow and assisting in problem resolution. Ultimately, this position contributes to the overall success of construction projects by providing reliable administrative support that enables teams to focus on their core responsibilities.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.

Preferred Qualifications:

  • Associate degree or coursework in business administration or related field.
  • Experience working in the construction industry or a related field.
  • Familiarity with construction management software or project management tools.
  • Basic knowledge of construction terminology and processes.
  • Customer service experience and strong interpersonal skills.

Responsibilities:

  • Manage daily office operations including answering phones, responding to emails, and greeting visitors.
  • Prepare, organize, and maintain project documentation such as contracts, permits, and schedules.
  • Coordinate meetings, appointments, and travel arrangements for project managers and team members.
  • Assist in processing invoices, purchase orders, and expense reports to support financial tracking.
  • Maintain accurate databases and filing systems to ensure easy retrieval of project information.
  • Support communication between field teams and office staff to facilitate timely updates and issue resolution.
  • Assist with compliance documentation and ensure adherence to company policies and regulatory requirements.

Skills:

The required skills such as proficiency in Microsoft Office and strong organizational abilities are essential for managing documentation, scheduling, and communication tasks efficiently on a daily basis. Effective written and verbal communication skills enable the Administrative Assistant I to interact professionally with team members, clients, and vendors, ensuring clarity and accuracy in information exchange.
