Front Desk Receptionist
2323 Victory Ave., Suite 1400, Dallas, TX - 75219 (onsite)
2+ Month contract (potential to extend)
Description:
BASIC FUNCTION:
Conducts receptionist duties for the Executive, Administrative and/or Pipeline Departments. Ensures customers and visitors are greeted in a friendly, positive and professional manner.
ESSENTIAL JOB DUTIES/RESPONSIBILITIES: (functions considered essential as defined by ADA)
§ Ensures visitors and customers are greeted in a friendly, positive and professional manner.
§ Receives and distributes information and data
§ Ensures front desk runs smoothly and all behind the scenes activities are executed on a timely basis
§ Operates the switchboard for up to a 100 person office with up to 400 lines
§ Answers incoming telephone calls, determines purpose of callers and forwards calls to appropriate person or department
May also perform other duties, including:
§ Places work orders for maintenance items
§ Compiles and distribute bi-weekly timesheets to HR
§ Prepares, process and reconcile various monthly invoices, reports, letters and spreadsheets including courier and Federal Express invoices
§ Oversees all activities related to the upkeep of the office building including the phone system and security keys
§ Acts as a liaison between upper management and building maintenance contractors such as landscapers, heating and cooling contractors, security contractors, phone contractors, and general contractors
§ Relieves or act as mail clerk
§ Oversees maintenance of copy machines
§ Stocks kitchen, oversee deliveries of various beverages and requisite supplies, and order office supplies
§ Performs other clerical duties as needed, such as data entry, filing, photocopying, and collating
§ Assists with mail-outs as needed
§ Maintains plant telephone directory and photographs for HR listing
§ Maintains orderliness and cleanliness of conference rooms, boardroom, reception area and kitchens or other assigned areas
§ Check-ins incoming packages and distribute and prepare out-going mail and courier deliveries
§ Orders lunches and ensure delivery to correct areas
§ Issues safety and contractor badges
§ Provides accounting assistance, including reconciliation, related to truck receipts of crude and other products, or location's monthly parking bill and sort and file bills of lading
§ Distributes mail to various departments in the office
§ Administers safety orientation and tests
§ Administers Ethics and Compliance Center System
§ Administers service award program
§ Updates prices file daily
Special assignments or tasks assigned to the employee by their supervisor, as determined from time to time in their sole and complete discretion.
EXPERIENCE:
None required.
EDUCATIONAL LEVEL:
A minimum of a High School Diploma or equivalent is required.
REQUIRED SKILLS:
Ability to perform basic clerical assignments. Proficient with spreadsheet, database and word processing applications; basic reading and writing skills with good listening skills; ability to perform basic mathematical calculations; ability to multi-task and maintain equanimity under pressure; detail oriented, ability to communicate with others, both written and verbal communication.
SUPERVISORY/MANAGERIAL RESPONSIBILITIES:
None.
WORK CONDITIONS:
Office based.
PHYSICAL REQUIREMENTS:
Job conditions require standing, walking, sitting, twisting, stooping, crouching, kneeling, talking or hearing, making visual inspections, making precise hand and finger movements, reaching or grasping and lifting and/or carrying up to 30 lbs, and strenuous physical activity.
