Administrative Assistant (On-Site)
MAY Management Services, Inc. is Northeast Florida's premier provider of homeowner, condominium, and commercial property management services. With over 34 years of experience, we are committed to delivering exceptional service and operational excellence to the communities we serve.
We are seeking a detail-oriented and highly organized Administrative Assistant to support our Community Management team. This is a full-time, in-office position that plays a key role in ensuring efficient daily operations and delivering outstanding service to our clients and residents.
Key responsibilities include:
- Managing incoming calls and directing communications to the appropriate team members
- Providing administrative support to Community Managers, including maintaining association records and tracking project status
- Preparing board meeting packets, compliance correspondence, and work orders
- Managing community websites and processing architectural review applications
- Responding to homeowner inquiries in a professional and timely manner
- Collaborating with Community Managers and Client Accountants to support client satisfaction and operational efficiency
Qualifications:
- Strong organizational skills with the ability to prioritize and manage multiple tasks
- Excellent written and verbal communication skills
- Ability to work independently in a fast-paced, deadline-driven environment
- High level of professionalism, responsiveness, and attention to detail
- Proficiency in Microsoft Office Suite and VMS applications
Education & Experience:
- High school diploma or GED required
- Prior experience in property management or familiarity with association covenants, maintenance operations, and vendor coordination is preferred
