Description

We are a professional staffing firm, working with organizations across the country to place exceptional candidates. Currently, we have an Administrative Assistant opportunity with our client -- a financial services organization known for its precision in asset management, tax compliance, and operational excellence.

The Administrative Assistant is responsible for the specific duties listed below.

Your specific duties will include:

  • Answer calls, screen calls, take accurate messages, and provide information to callers.
  • Provide front desk support and general administrative assistance to Senior Managing Directors and Agents.
  • Work with the Office Manager to process transaction paperwork for sales and rentals, including tracking, filing, and scanning checks.
  • Handle office-related invoices and submit for approval and payment processing.
  • Prepare and type board packages, mailing labels, and other documentation.
  • Utilize proprietary systems to support agents, including marketing collateral creation, listing databases, search functionality, and deal documentation submission.
  • Operate office equipment including printers and copiers; replace toner as needed.
  • Maintain and update office exclusive listings and prepare weekly and monthly reports.
  • Attend virtual sales meetings and prepare accurate meeting minutes for distribution.
  • Assist with submission of monthly expense reports.
  • Receive, sort, and distribute mail, email, and voice messages efficiently.
  • Process outgoing mail including US Government Client, UPS, and messenger services.

Required qualifications for the position include:

  • Strong administrative and organizational skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Strong communication skills, both verbal and written.
  • High School Diploma or equivalent.

Preferred qualifications for the position include:

  • Experience in administrative or office support roles.
  • Familiarity with handling transaction paperwork and reporting.

Pay Rate: $22.07 per hour

Compensation may vary outside of this range depending on a number of factors, including a candidate's qualifications, skills, competencies and experience, and location. Employees have access to healthcare benefits including medical, dental and vision as well as a 401(k) plan.
