Aledo ISD is seeking an Administrative Assistant to the Assistant Superintendent, Curriculum & Instruction Immediate Hire

Primary Purpose:

Provide logistical and administrative support to the Assistant Superintendent to ensure compliance with all state, federal, and local requirements.

Qualifications:

Education/Certification:

High school diploma or GED

Special Knowledge/Skills:

Knowledge of procurement processes and district fiscal policies

Strong organizational and interpersonal skills

Proficiency in all Microsoft Office and Google Suite and all standard office equipment

Ability to work independently and utilize effective judgement

Understand and adhere to all tenets of Family Educational Rights and Privacy Act (FERPA)

Experience:

Administrative assistant/secretarial experience, preferably in public education

Major Responsibilities and Duties:

Clerical Support

  1. Enter all departmental requisitions in Ascender for coordination with the Business Office. Generate Purchase Orders for review by authorizing official and tracking. Work closely with staff to ensure all services and materials are received.
  2. Establish, maintain, and revise files of correspondence, electronic mail, spreadsheets, confidential material, and technical documents.
  3. Maintain a running list of all upcoming meetings, conferences and presentations. Coordinate room set up, required agendas, special presenter requests, sign-in sheets and necessary materials.
  4. Provide logistical and administrative support for the Curriculum & Instruction Department (including Director of Assessment and Accountability, Curriculum Coordinators, and Instructional Specialists).
  5. Coordinate supervisor's calendar and schedule appointments and meetings based on personal knowledge of workload and current issues of importance.
  6. Correspond with the Director of Assessment and Accountability and Curriculum Coordinators to support the procurement of instructional materials.
  7. Assist with special projects related to committees.
  8. Provide logistical support, coordination, and execution for annual events.
  9. Coordinate travel arrangements for the C&I Department, including booking transportation, lodging, and itineraries while ensuring compliance with organizational policies and budget guidelines.
  10. Submit work orders for repairs or projects as directed.

Records, Reports, and Correspondence

  1. Compile, maintain, and file all physical and computerized reports, records, and other documents.

Budget and Inventory

  1. Maintain a current inventory of department supplies and equipment and recommend the replacement and disposal of equipment when necessary.
  2. Assist the Assistant Superintendent of Curriculum and Instruction, Director of Assessment and Accountability, Curriculum Coordinators, and Instructional Specialists, in completion of requisitions, purchase orders, and payment authorizations and maintain purchase order records.
  3. Coordinate with Business Office staff to resolve any accounting variances.

Other

  1. Coordinate, support, and organize training sessions, including scheduling and setup, logistics, communication, and materials preparation, while creating a welcoming and organized environment for participants.
  2. Complete other duties as needed and assigned by the Assistant Superintendent of Curriculum and Instruction.

Supervisory Responsibilities:

None.

Provide high quality customer service to all stakeholders. Adapt quickly to evolving needs while remaining flexible in approach.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals, printer, copier, labeling machines, multi-line phone, laminator, poster maker

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting.

Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching.

Lifting: Occasional light lifting and carrying (up to 20 pounds).

Environment: May work prolonged or irregular hours.

Mental Demands: Work with frequent interruptions; maintain emotional control under stress.
