Position Overview

This role offers a warm and welcoming first impression to patients and guests, ensuring smooth check-in and check-out processes. You will collaborate closely with clinical teams and business offices to verify patient information, collect necessary documentation, and manage payments efficiently. Your efforts will contribute to maintaining excellent patient flow and satisfaction within a busy healthcare practice serving the Pacific Southwest region.

Key Responsibilities

  • Maintain a safe and clean work environment, adhering to safety and infection control standards.
  • Registration Duties: Prepare all visit paperwork timely, verify and scan patient ID and insurance cards into electronic systems, collect signatures on financial and privacy forms, and handle co-pays and balances.
  • Update patient demographic data accurately in the Practice Management system and enter required quality measures upon patient arrival.
  • Scan and organize front office documents into electronic health records and schedule follow-up or new patient appointments as needed.
  • Coordinate patient transportation with preferred facilities when necessary.
  • Customer Service: Communicate clearly and kindly, provide appointment information and directions, and strive to exceed patient satisfaction goals.
  • End of Day Procedures: Balance cash, checks, and credit collections, reconcile with reports, and submit funds to the billing office.
  • Cross-Functional Support: Collaborate with registration, telephone, and clinical staff; provide coverage during high volume or absences; assist patients with form completion.
  • Practice Compliance: Protect patient confidentiality, ensure HIPAA notices are displayed and distributed, and comply with all relevant medical practice regulations including OSHA.

Qualifications

  • Experience with insurance verification (HMO, PPO) preferred.
  • Previous front desk or customer service experience in healthcare is advantageous.
  • At least one year of healthcare experience preferred.
  • Strong communication skills, both oral and written, with the ability to engage effectively at all organizational levels.
  • Demonstrated leadership, teamwork, and ethical integrity.
  • Bilingual abilities are a plus.

Education

  • High school diploma or GED required.
