We're looking for a dependable and customer-focused team member to support the smooth daily operations of our organization. This role is ideal for someone who enjoys helping people, staying organized, and keeping a workplace running efficiently.

Duties and Responsibilities
What You Will Do

  • In this role, you will be the first point of contact for visitors, staff, and callers. Your main responsibilities include:
  • Monitor gate access and greet visitors professionally
  • Answer and transfer phone calls, and assist guests using the visitor management system
  • Handle incoming mail, packages, and deliveries
  • Maintain a clean, organized, and welcoming reception area
  • Provide excellent customer service by answering inquiries and assisting internal and external customers
  • Perform a variety of administrative tasks, including:
    • Maintaining and updating files and records
    • Creating and maintaining spreadsheets
    • Composing correspondence
    • Entering data and processing work orders
    • Copying, scanning, filing, and managing electronic documents
    • Ordering and inventorying office supplies
    • Assisting with record requests
  • Support office operations by helping prepare payroll, explaining policies and procedures, processing and distributing orders, preparing invoices, and scheduling meetings and appointments
  • Transcribe meeting minutes, maintain office calendars, and assist with newsletters, press releases, publications, and emails
  • Generate and distribute monthly and weekly reports, including cash deposit reports
  • Conduct research and arrange business travel for staff
  • Follow workplace security, safety, and confidentiality protocols
  • Perform other duties as assigned

Education, Experience, Licensing

Education & Experience

Requires any combination of education and experience equivalent to:

  • High school diploma or GED
  • One year of clerical, customer service, or related experience

Required

  • Valid driver's license with a good driving record
  • Strong communication and multitasking skills
  • Ability to stay calm and organized in a fast-paced environment
  • Understanding of confidentiality, office procedures, and visitor/phone management systems

Supplemental Information

Work Schedule: Monday-Friday, 7:30 AM to 4:00 PM
