Bilingual K-8 Front Office Receptionist
The Bilingual K-8 Front Office Receptionist performs daily operations as the first point of contact for the Pinnacle Charter School K-8 building. This position provides outstanding customer service and clear communication for all students, parents, staff, and community members and is able to communicate (verbally and in writing) in English and Spanish.
Reporting Relationships:
Reports to: Director of Student Data, Records, and Information Systems.
Direct Reports: This is a non-supervisory position.

Compensation: This is a full-time, 12-month position. Pay range is $20.53 - $27.71 per hour depending on experience. See a detailed outline of benefits and additional compensation at the bottom of the job description.
Essential Functions:
Front Office Operations:
- Coordinate front desk operations, including managing visitor check-ins, issuing badges, and notifying staff of arrivals.
- Triage incoming calls, visitors, and internal requests, exercising judgment to minimize disruptions to classrooms and instructional time.
- Uphold and consistently enforce school policies, procedures, and expectations as outlined in the Parent/Student Handbook.
- De-escalate challenging situations and escalate concerns to administration when appropriate.
- Assist families in navigating school-related systems and processes, including password resets, digital applications, enrollment, and transportation, resolving issues when possible and directing to appropriate staff when needed.
- Assist with locating students and coordinating student movement within the building, including calling students to the front office for early dismissals, parent pickups, or administrative needs.
- Assist with substitute and volunteer check-ins, including processing through required systems and issuing badges.
- Receive, manage, and distribute deliveries and packages in an organized and timely manner.
- Receive and distribute materials left for students, including lunches, assignments, and school-related items.
- Ensure the reception area remains clean, organized, and stocked with necessary materials.
Communication:
- Create a welcoming, professional, and helpful front office environment while fostering positive relationships with students, families, staff, and visitors.
- Greet students, parents, and visitors, address concerns, answer questions, and direct individuals to appropriate resources.
- Serve as a central point of information, responding to questions from students, families, and staff, and resolving inquiries when possible before directing to other departments.
- Answer and manage incoming calls, screen and direct calls appropriately, respond to inquiries via phone and email, and return voicemails in a timely manner.
- Provide interpretation and written translation for parent meetings, phone calls, and school communications.
- Communicate school policies clearly and respectfully, including in situations involving disagreement or frustration.
- Assist staff with family communications regarding late pickups, transportation issues, and other student-related matters.
Safety:
- Monitor and support surveillance cameras and maintain awareness of front office activity.
- Ensure front office safety and security by maintaining continuous coverage of the front desk and coordinating with security staff to ensure the main entrance is always supervised.
- Ensure phone lines remain available for emergency communication.
- Support emergency procedures and protocols, including drills and reunification processes.
Confidentiality:
- Maintain confidentiality of student records and sensitive information in compliance with FERPA regulations.
Administrative & Documentation:
- Monitor and maintain student attendance records, including entering attendance, issuing tardy passes, managing sign-in/sign-out, and responding to attendance-related inquiries in accordance with school policy.
- Collect and maintain documentation for absences and provide records to appropriate departments as required.
- Operate standard office equipment, including phone systems, copiers, scanners, and postage machines.
Additionally:
- Maintain professional boundaries while providing excellent customer service.
- Participate in school functions and events to build positive relationships with the school community.
- Maintain regular and reliable attendance.
- Complete special projects and perform other duties as assigned.
Education, License, and Requirements:
- High School Diploma or equivalent required.
- Bilingual in English and Spanish required.
General Abilities, Knowledge, Qualifications, and Skills:
- Demonstrated experience in customer service and working in a fast-paced office environment with multiple competing demands.
- Strong knowledge of general office practices and proficiency with standard office equipment.
- Proficiency in Microsoft Office, Google Workspace, and Adobe applications.
- Basic proficiency in math and ability to accurately communicate information related to fees, forms, and school-related processes to students and families.
- Ability to work independently with minimal supervision while managing multiple tasks and meeting deadlines.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills, including strong interpersonal skills and the ability to manage conflict effectively.
- Ability to collaborate and communicate effectively with diverse students, families, staff, and community members.
- Ability to navigate and respond to challenging parent interactions with professionalism and consistency.
- Ability to remain calm, exercise sound judgment, and effectively de-escalate tense or high-pressure situations.
- Demonstrates discretion and sound judgment when handling sensitive situations or enforcing school policies.

Working Conditions:
Exposure/Noise Level: Occasional exposure to airborne particles, fumes, and outdoor weather conditions. Normal school environment with moderate to high noise level.
Mental Functions: Analyze, collaboration, communicate, compare, compilation of data, compute, coordinate, copy, direct, evaluate, instruct, interpersonal skills, present, report, synthesize.
Physical Activities: Office environment including computer interface. Bend, reach, sit, stand, stoop, talk, walk, and heavy person-to-person interaction with students, parents, peers, and community members.
Weight and Force Demands: Moderate physical activity (lifting, pulling, and pushing up to 25 pounds).
Other: May be required to work outside of normal working hours and travel for work related functions.
