Bookkeeper/Administrative Support

Responsible for performing various office administrative and general bookkeeping support tasks, including maintaining company records and accounts, reconciling invoices to work orders and payments, communicating with customers regarding their accounts, answer phones, provide customer support, processing payroll and reviewing employee time records, coordinate employee onboarding process, and process new hire paperwork.

Essential Functions

  • Maintain records of financial transactions by establishing accounts; posting transactions; ensure legal
  • requirements compliance.
  • Maintain company accounts by verifying, allocating, and posting transactions.
  • Balance company accounts by reconciling entries.
  • Maintain general ledger by transferring business account summaries.
  • Maintain historical records by filing documents.
  • Contributes to team effort by accomplishing related results as needed.
  • Match invoices to work orders, match payments to invoices.
  • Daily deposit posting and reconciliation; process month end closing.
  • Contact customers with delinquent accounts to collect payments.
  • Reconcile credit card statements against receipts.
  • Input type vouchers, invoices, checks, account statements, reports, and other records.
  • Process and submit payroll; make manual adjustments to timecards.
  • Maintain personnel files in a professional manner; maintain confidentiality of personnel records.
  • Participate with onboarding of new employees.
  • Organize and process incoming and outgoing mail.
  • Order and keep track of office supplies.
  • Answer phone calls.
  • Proficient computer skills with Microsoft office and accounting systems.
  • Accounts payable and receivables.
  • Perform other duties as assigned by management.

Education and Experience

  • High school diploma or General Education Diploma (GED) preferred.
  • Two or more years of related work experience required.
  • Previous bookkeeping and general human resource management experience preferred.
  • Possess a valid state Class-C driver license.

Knowledge & Ability Requirements

  • Proven bookkeeping experience.
  • Solid understanding of basic bookkeeping and accounting payable/receivable principles.
  • Proven ability to calculate, post and manage accounting figures and financial records.
  • Data entry skills with the ability to work a multi-functional calculator or 10-key proficiently.
  • Hands-on experience with spreadsheets and proprietary software.
  • Proficiency in English and in Microsoft Office Applications, such as Excel and Word.
  • Excellent customer service and negotiation skills (customer and vendor relations).
  • High degree of accuracy and attention to detail.
  • Knowledgeable of general human resource management methods and processes, such as maintaining personnel
  • records, employee time records, payroll processing, on-boarding new hires, new hire paperwork.
  • Knowledgeable of basic California wage and hour and employment laws in context of employee wages and
  • compensation, leaves of absences, employment, mandated new hire paperwork, brochures and pamphlets.
  • Ability to analyze and interpret data to help with problem-solving.
  • Ability to work within set tolerances.
  • Ability to define problems, collect data, establish facts, and draw and apply valid conclusions.
  • Excellent verbal and written communication skills, including the ability to effectively communicate with
  • teammates, contractors and vendors.
  • Possess strong degree of attention to detail.
  • Ability to work in a team fostered environment.
  • Ability to operate a motorized vehicle.

Other Information

The job is performed in an administrative office work environment. Work duties may require knowledge and skill to use standard office equipment, such as a PC-based computer, fax machine, phone system, and/or copy machine.
