Client Service/Administrative Assistant | Bellevue, WA (In-Office)
Financial Planning/Wealth Management firm seeks an experienced Administrative Assistant to provide comprehensive client service and operational support to three Certified Financial Planners and their clients. The ideal candidate will be a proactive, detail-oriented, people-person who thrives in a cooperative team environment dedicated to exceptional client care. Office hours are 8:00am-4:30pm M-F (with a ½ hour lunch).
Responsibilities:
Serve as primary point of contact for client inquiries via phone, email, and fax, ensuring timely/accurate responses.
Schedule client/prospect appointments, seminars, and meetings for advisors.
Meet with clients to review/execute new business documents, account updates, and other paperwork requiring signatures.
Proactively communicate with clients regarding account changes, documentation needs, and assist with website access (financial planning software, client portal).
Prepare all documentation for new account openings, asset transfers, and account maintenance.
Process trades (buy/sell) and complete associated documentation.
Monitor/manage client account activities including withdrawals, Required Minimum Distributions (RMDs), insufficient funds, and transfer requests.
Prepare withdrawal worksheets and other financial documents for advisor review.
Utilize the Contact Management System (CRM) to document all client interactions, track tasks, and manage workflows from initiation to completion.
Prepare documents for client signatures and ensure accurate electronic filing within the CRM/document storage system.
Collaborate with team members to ensure seamless operational support and coverage, including answering phones and delegating faxes.
Requirements:
Minimum of 2 years of experience in the financial services industry is preferred.
Series 7, 63, and 65 registrations are strongly preferred.
Bachelor's Degree in business administration or similar preferred
Experience with CRM software and proficiency with Microsoft Office (Word, Excel, PowerPoint).
Exceptional interpersonal and communication skills (both oral and written).
Strong organizational skills with meticulous attention to detail.
Proven ability to multitask, manage time effectively, and solve problems independently.
Must be able to pass comprehensive criminal and credit background checks.
