Job Summary:
The Administrative Assistant is responsible for providing administrative support to ensure the efficient operation of the cosmetology school. This includes managing office tasks, assisting students, handling communications, and coordinating school activities. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills.
Job Functions
Key Responsibilities:
1. Administrative Support:
• Assist in scheduling appointments, meetings, and events.
• Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
• Maintain and update student records and files in compliance with school policies and regulations.
• Prepare and organize documents for meetings, events, and trainings.
• Handle general office duties such as filing, faxing, copying, and data entry.
2. Student Support:
• Greet and assist students, parents, and visitors in person or over the phone.
• Provide information regarding courses, programs, schedules, and tuition.
• Assist with student enrollment, registration, and graduation processes.
• Maintain communication with students regarding any changes or updates in the school schedule or policies.
3. Scheduling & Coordination:
• Coordinate class schedules, teacher assignments, and student attendance.
• Help organize events, such as orientations, graduations, and student activities.
• Ensure proper classroom setups and materials are available for instructors and students.
4. Inventory and Supplies Management:
• Monitor inventory of supplies and materials used in the cosmetology program (e.g., tools, products).
• Order and restock supplies as needed to ensure classes run smoothly.
5. Compliance and Accreditation:
• Assist in maintaining records for state and accrediting agency compliance.
• Help prepare documentation for audits or inspections.
Qualifications
Qualifications:
• High school diploma or equivalent; associate degree or higher preferred.
• Experience in administrative support or office management, preferably in an educational or cosmetology setting.
• Strong organizational, multitasking, and time-management skills.
• Excellent communication skills, both verbal and written.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Ability to work effectively with students, faculty, and staff in a fast-paced environment.
Preferred Skills:
• Knowledge of cosmetology industry standards and practices.
• Familiarity with student information management software (e.g., QuickBooks, school-specific software).

PAY FOR PERFORMANCE The County currently utilizes a merit pay system to determine employee salary increases.
Part-time employees must consistently work at least 20 hours per week to participate in the programs listed below.

DEPENDENT CARE ASSISTANCE PROGRAM The County offers a Dependent Care Assistance Program that allows employees to set aside up to $5,000 annually, on a pre-tax basis via payroll deductions, to pay eligible dependent care expenses. The IRS regulates this program, and it runs from September to October.
DEFERRED COMPENSATION The County offers a 457 as another alternative to set aside money for retirement.
