Position Description
Dental Patient Representative plays a crucial role in ensuring smooth operations at the front desk of the dental schools Oral Health Clinic (OHC). This position involves managing incoming calls, scheduling clinical appointments for patients, providing customer service, and supporting the coordination of clinical activities. The ideal candidate will have excellent communication skills, be detail-oriented, and be able to multitask effectively in a fast-paced environment.
Major/Essential Functions
- Serve as the primary point of contact for incoming patients and families.
- Greet all internal and external guests and visitors in a timely, courteous and professional manner.
- Registers and provides scheduling support for student clinic, specialty clinics and faculty clinic accurately and efficiently.
- Assist patients and families with all aspects of the check in/check out process.
- Provide assistance to patients concerning (including but not limited to): the completion of required forms; understanding insurance coverage; and explaining available payment options.
- Help coordinate patient flow as directed.
- Performs administrative tasks as needed / assigned (including but not limited to): receive / deliver messages to students, staff, faculty, and triage calls.
- Ensures the confidentiality of all patients, applications, records and information received.
- Protect the financial integrity of TTUHSC El Paso by discussing payment options and screening for eligibility.
- Proactively contact patients to follow up on missed appointments, or reminders of upcoming visits.
- Utilize professional and timely problem-solving skills to connect the caller with appropriate staff and / or services in the event of issues/concerns.
- Accurately scans all necessary paperwork, forms into correct file folder in EHR.
- Verifies, updates and optimizes the patient schedule daily.
- Runs balance/credit reports, recall reports, 90-day reports, and student experience reports to help optimize student's schedule.
- Cashier's and prepares daily deposits.
- Responsible for collecting patient's co-payments, payment for services rendered and / or outstanding balances.
- Trains existing and / or new employees in the registration processing or in any other job-related duties.
- Remains current with all licensure, certifications and mandatory compliances and trainings required of this position.
- Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.).
- Personally demonstrate, display and act in accordance with TTUHSC EP's Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value's leader while actively promoting and encouraging staff across the institution.
- Perform all other duties as assigned.
Preferred Qualifications
- Minimal 1 year working in a dental office or a dental dispensary.
- Knowledge of computer skills, email, Excel and Word.
- Exceptional attention to detail, the ability to troubleshoot and verify the accuracy of work.
- Ability to troubleshoot equipment.
- Proficient professional communication skills; ability to work in a busy work environment.
- Bilingual: English and Spanish preferred.
Pay Statement
Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as the institutional pay plan. For additional information, please reference the institutional pay plan website at https://app4.ttuhsc.edu/payplan.
