Job Summary
The Department Assistant provides administrative support to department management to ensure continuity of daily functions and operations. This role collaborates with management to organize, present, and maintain department information in alignment with department and business line goals and objectives.
Job Description
- Assist with weekly time entry for field craft payroll.
- Verify time entered into jobsite badging systems and advise on corrections as needed.
- Support submission and processing of craft correction paychecks.
- Perform data entry into jobsite IRA tracking logs.
- Maintain apprentice information in the Baker Tilly third-party database.
- Assist with new hire paperwork, ensuring accuracy and completion prior to submission to payroll.
- Support general document control processes.
- Coordinate UPS/FedEx deliveries and ensure proper distribution.
- Manage office supplies and place orders as needed.
- Assist with setup of miscellaneous events and training sessions.
- Finalize orientation paperwork for Spanish-speaking employees.
- Provide day-to-day Spanish communication support with crew members.
- Translate documents and paperwork as needed.
Skills Required
- Minimum 2 years of experience in an administrative or coordinator role, preferably in a construction environment.
- Bilingual (Spanish/English) required.
- Strong organizational, written, and verbal communication skills.
- Ability to prioritize tasks and work autonomously.
- Ability to meet urgent deadlines and complete time-sensitive tasks.
- Professional, mature, and positive demeanor.
- Ability to work effectively with a variety of personalities.
- Proficiency in Microsoft Access, Excel, and Word.
- Experience with Oracle preferred.
Education/Training/Certifications
- High School Diploma or GED equivalent.
Additional Requirements
- Frequently required to stand, walk, type, reach, and use hands and arms.
- Ability to talk and hear effectively.
- May occasionally lift or move up to 50 lbs.
- Requires close vision, peripheral vision, and the ability to adjust focus.
Pay Rate/Salary
- Pay Rate $21/ hr (Actual compensation is subject to variation due to such factors as education, experience, skillset, and/or location)
