About the Role:

5+ years of Commercial HVAC Dispatching

Essential Skills

  • HVAC Knowledge: Must understand Commercial HVAC terminology and service processes to match the right technician's skill level to specific job requirements.
  • Mapping & Routing: Experience with GPS tracking and routing tools to minimize travel time and fuel costs; being effective and effect for the company as well as for our customers.
  • Planning: The ability to anticipate potential scheduling issues before they cause delays; think quickly to make good solid decisions with routing and scheduling.
  • Software Proficiency:
    • Experience with industry-standard software such as Sage and ServiceTrade
    • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Soft Skills High-level multitasking, conflict/problem resolution, and the ability to remain calm in a fast-paced environment with shifting priorities.

Key Responsibilities

Customer Service, Dispatch, & Communication

  • Routing and assigning jobs based on a technician's specific skillset, their location, prioritizing emergency calls, and optimizing routes to reduce travel time.
  • Ensuring technicians have the necessary parts, site access codes, site contacts, and job details before they arrive on-site.
  • Managing the "dispatch board" to account for last-minute cancellations, technician illnesses, or priority emergency calls.
  • Monitoring day-to-day job progress to ensure work is completed within budget and deadlines.
  • Reviewing work orders daily for accuracy, completion, or if needing to reschedule.
  • Customer communication: Assisting with inbound service calls, emails, providing status updates for appointments and ETAs. Ensuring high customer satisfaction.
  • Handling of frustrated customers; especially during peak seasons like extreme heat or cold, with empathy and professionalism.
  • Covering a rotating shift for on call
  • Assist in providing ongoing support to dispatch team on standard operating procedures.
  • Training new employees.
  • Assist as a high-level point of contact for complaints or service escalations.
  • Other various lead duties
