The Opportunity

Were looking for an Event Coordinator who thrives at the intersection of client experience, brand execution, and operational excellence.

This is not a back-office role. You will be a key player in bringing high-profile events and brand activations to life, working closely with clients, creative teams, and vendors to ensure every detail aligns with the brand vision.

Youll help shape how luxury and retail brands show up in the worldwhile building the systems and workflows that make seamless execution possible.

What Youll Do

Client Experience & Event Execution

  • Act as a key support partner to Event Project Managers on high-touch, client-facing projects
  • Collaborate with clients and internal teams to bring brand visions to life
  • Support event planning and execution across multiple markets, ensuring polished, on-brand delivery
  • Help coordinate day-of logistics, vendor communication, and installation support when needed
  • Contribute to creating a seamless, elevated client experience from concept through execution

Marketing, Brand & Vendor Collaboration

  • Research and source vendors that align with brand aesthetics and experiential goals
  • Support RFP processes, vendor outreach, and creative production coordination
  • Maintain strong vendor relationships and contribute to building a best-in-class partner network
  • Assist in capturing and organizing event deliverables (photos, installs, recaps) for client presentations and marketing use

Operations & Project Management

  • Own project workflows and ensure accuracy within Monday.com (CRM & project management)
  • Maintain clean, organized systems that support scalable event execution
  • Manage timelines, task tracking, and cross-functional communication
  • Ensure all project detailsfrom creative specs to install logisticsare accurate and client-ready

Billing, Reporting & Performance Tracking

  • Support billing workflows, documentation, and coordination with accounting
  • Track budgets, invoices, and vendor costs with a high level of accuracy
  • Assist in building client recaps and performance reports
  • Identify opportunities to improve processes and enhance efficiency as the division grows

Tools Youll Use

  • Monday.com (project management & CRM)
  • Google Drive & Google Workspace
  • FileMaker
  • QuickBooks (in partnership with accounting)
  • Microsoft Office Suite
  • Canva

What You Bring

  • 4+ years of experience in event coordination, marketing, PR, or project management
  • Strong client-facing experience with excellent communication and relationship-building skills
  • A passion for branding, events, and experiential marketing
  • Exceptional organization and attention to detail
  • Ability to manage multiple projects in a fast-paced, high-expectation environment
  • Experience with Monday.com or similar tools is a plus

Nice to Have

  • Experience working with luxury, retail, or experiential brands
  • Exposure to agency environments, events, or brand activations
  • Familiarity with vendor sourcing, production, or installation logistics

Compensation & Benefits

  • $65,000 $75,000 per year
