Event Coordinator

We're seeking a detail-oriented, enthusiastic, and customer-focused Event Coordinator to join our dynamic team. This individual will be instrumental in bringing events to life from the initial planning stages through execution. Working closely with clients, vendors, kitchen staff, and internal teams, the Event Coordinator ensures that every detail is thoughtfully managed, timelines are followed, and guests leave with a lasting impression. At Pier 290 Lake Life Catering, we believe in crafting experiences that are as seamless as they are spectacular, and we're looking for someone who shares that vision.

Key responsibilities include:

  • Serving as the primary point of contact for clients throughout the planning and execution of events
  • Coordinating logistics for on-site and off-site events, including timelines, layouts, menus, rentals, and vendor details
  • Conducting site tours and client meetings, offering expert advice and creative suggestions
  • Replying to client inquiries in a timely and professional manner
  • Managing event timelines and ensuring events run smoothly from setup to breakdown
  • Handling last-minute changes with professionalism and a solutions-oriented attitude
  • Maintaining accurate records of all event details, communications, and invoices
  • Supporting sales efforts through follow-up, upselling opportunities, and building client relationships

The ideal candidate will have a minimum of 2 years of experience in event coordination, hospitality, or a related fieldvenue or catering experience is a strong plus. They should possess exceptional organizational and time-management skills, with the ability to multitask and thrive in a fast-paced environment. Strong interpersonal and communication skills, both written and verbal, are essential for success in this client-facing role. A flexible schedule is a must, including availability for nights, weekends, and holidays, as our events span a variety of times and occasions.
