Pay: $37-43/hr based on experience
Schedule: Monday-Friday, 8:00 AM - 4:30 PM
Location: Onsite in Buffalo Grove, IL

Our client is a global manufacturer specializing in drug delivery systems for the pharmaceutical and biotechnology industries. They design and produce highly regulated medical devices including inhalers, injectable systems, ophthalmic delivery solutions, and other precision drug delivery components. The organization operates in a compliance-driven, FDA-regulated environment with a strong focus on quality, confidentiality, and operational excellence.

Position Overview

We are seeking an experienced Executive Administrative Assistant to support the Director of HR and Plant Manager. This position is covering a leave of absence and is expected to run through early April, with a strong possibility of extension if the employee does not return.

The ideal candidate must have prior experience in an executive administrative role and be comfortable working in a fast-paced, highly confidential environment. This individual will be exposed to sensitive financial and organizational information and must demonstrate professionalism and discretion at all times.

Key Responsibilities

  • Manage complex executive calendars and scheduling
  • Plan and coordinate company events and meetings
  • Prepare and process expense reports
  • Serve as a customer-facing representative when needed
  • Attend executive meetings and record detailed meeting notes
  • Support leadership with administrative reporting and documentation
  • Handle confidential and financial information with the highest level of discretion
  • Provide general administrative support to senior leadership

Qualifications

  • Prior experience in an Executive Administrative or high-level Administrative role (required)
  • Strong Microsoft Office skills (Excel, Outlook, Word, PowerPoint required)
  • Experience supporting senior leadership (Director level and above preferred)
  • High level of professionalism and confidentiality
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to work fully onsite
