Compensation: $90,000-$100,000 annually

Position Summary

The Executive Assistant serves as a high-level partner to executive leadership, primarily supporting the Executive Vice President of the Fruit Division, with additional support to the CEO and CFO. This role also collaborates with and provides oversight to a supporting Executive Assistant who works closely with the EVP and reports through this position.

This role goes beyond traditional administrative support. We are seeking a seasoned professional who can:

The ideal candidate brings maturity, strong business judgment, exceptional written communication skills, and the confidence to proactively recommend improvements.

This is a fully onsite role with work split between our Los Angeles and La Mirada offices as needed.

Key Responsibilities
Executive Partnership & Strategic Support

  • Serve as a trusted partner to executive leadership.
  • Proactively identify workflow gaps and recommend efficiency improvements.
  • Help align executive priorities and ensure follow-through on key initiatives.
  • Support a dynamic leadership team during a period of growth and organizational evolution.

Calendar & Time Management

  • Manage complex, multi-executive calendars.
  • Act as a strategic gatekeeper to protect executive time.
  • Coordinate logistics across offices and business functions.
  • Support occasional evening or weekend coordination when necessary.

Executive Communications

  • Draft, edit, and proofread executive-level emails, presentations, and documents.
  • Translate verbal direction into polished, professional written communication.
  • Manage inbox prioritization and ensure timely responses.
  • Maintain tone, discretion, and clarity across all communications.

Travel & Logistics

  • Coordinate executive travel arrangements and detailed itineraries.
  • Manage real-time adjustments and last-minute changes.

Financial & Operational Support

  • Support CFO-related coordination and meeting preparation.
  • Process expense reports and maintain documentation.
  • Financial literacy or comfort supporting finance leadership is preferred.

Meetings & Project Coordination

  • Prepare agendas, materials, and executive summaries.
  • Capture meeting notes and track action items.
  • Ensure accountability across departments.
  • Coordinate cross-functional initiatives as assigned.

Qualifications
Required

  • 5+ years of experience supporting senior executives (VP-level or above).
  • Experience managing multiple executive stakeholders.
  • Strong written and verbal communication skills.
  • High discretion and professionalism.
  • Advanced proficiency in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint).
  • Ability to manage competing priorities in a fast-paced environment.
  • Ability to work onsite full-time.

Preferred

  • AI experience with Claude
  • Bachelor's degree.
  • Experience in a growth-stage or operationally complex organization.
  • Financial literacy or experience supporting finance leadership.
  • Bilingual English/Spanish.

This position offers a base salary range of $90,000-$100,000 annually, commensurate with experience and qualifications.
