Description
Executive Assistant
Reporting to the CEO, serves as a trusted partner, providing high-level administrative and strategic support to the CEO and C-suite executives. Primary point of contact for internal and external stakeholders to ensure the Executive Office operates efficiently and effectively. Anticipates needs and takes initiative to support senior leadership in achieving business goals.
Essential Functions
- Manage complex professional schedules, communications, and priorities
- Provide support covering a wide range of professional tasks
- Support CEO with personal and professional matters
- Anticipate needs and respond appropriately to urgent and shifting priorities
- Coordinate and prepare high-quality presentations, reports, and correspondence
- Provide day-to-day administrative support including task tracking and follow-ups
- Maintain strict confidentiality and use discretion while dealing with business and personal information
- Proactively prepare executives for meetings, including research and briefing materials
- Organize Board of Directors meetings, including logistics, materials, relationship support, and follow up
- Track and support execution of key initiatives and strategic projects
- Plan and coordinate detailed travel arrangements including flights, lodging, transportation, itineraries, and expense reporting
- Lead or assist with special projects and ad hoc assignments as needed
Required Skills
- High level of professionalism, discretion, and confidentiality
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio); SharePoint experience a plus. Able to learn and use internal systems
- Exceptional organizational, multitasking, and time management skills
- Ability to manage multiple priorities in a fast-paced, dynamic environment
- Strong written and verbal communication skills, including writing, editing and proofreading
- Self-motivated, proactive, and resourceful with a strong sense of ownership
- Strong interpersonal skills with the ability to build relationships across all levels
- Positive, flexible, and solution-oriented mindset
Required Experience
- 6+ years of experience in a fast-paced corporate environment
- Experience supporting C-level executives preferred
- Bachelor's degree in Business or related field (or equivalent experience)
- Strong understanding of business operations and executive-level workflows
- Proven experience creating high-quality reports and presentations
