HR Administrative Assistant (Temporary Coverage Role)

Addison Group is partnering with our client, a mission-driven nonprofit organization focused on providing mental health services for children and families in the Bay Area. This temporary opportunity supports HR leadership during a leave coverage period and plays a key role in maintaining operational continuity within a busy and evolving environment.
Job Description
This role provides immediate, high-level administrative and HR operational support to HR leadership. The ideal candidate is highly organized, comfortable working independently, and able to quickly step into a fast-moving environment with minimal training. You will help stabilize HR workflows by managing documentation, coordination, and day-to-day administrative needs while maintaining strict confidentiality.
Key Responsibilities
- Support HR leadership with administrative and operational workload management
- Maintain and organize HR files, records, and documentation systems
- Assist with onboarding and offboarding processes, including paperwork and coordination
- Manage scheduling, calendars, inbox monitoring, and internal communications
- Support HR-related reporting and data organization
- Assist with sensitive workforce activities and transitions as needed
- Help execute special HR projects and process improvements
- Identify priorities and complete tasks with minimal direction
- Bring structure and clarity to evolving or unorganized workflows
Qualifications
- 2–3+ years of experience in an administrative, HR support, coordination, or executive assistant role
- Strong organizational skills with the ability to manage competing priorities
- Experience handling confidential and sensitive information with discretion
- Ability to work independently in fast-paced or ambiguous environments
- Exposure to HR processes such as onboarding, employee records, or payroll support preferred
- Familiarity with HR systems, document management tools, or scheduling platforms is a plus
- Nonprofit or mission-driven organization experience strongly preferred
Additional Details
- Temporary role (approximately 6–8 weeks, with potential for extension)
- Full-time, standard business hours
- Must be onsite in Oakland, CA five days per week
