About the Role

Epic Fitness Group operates 69 Planet Fitness franchise locations in Michigan, Northern Ohio and Illinois. We are seeking an HR Coordinator to serve as a key operational partner across the full range of human resources functions. This role is split between talent acquisition and core HR operations where you'll be equally responsible for keeping our hiring pipeline moving and ensuring our day-to-day HR processes, employee records, compliance, and administrative functions run smoothly. As a member of the corporate staff, you will experience a very collaborative environment, working in our Northville Michigan office, at least 3 days per week, with our hybrid work schedule. Essential Functions and Key Responsibilities:

HR Operations & Compliance
• Maintain and update electronic employee records, processing personnel transactions and changes in the HRIS accurately and on time.
• Manage the electronic onboarding process for all new hires, from offer letter approval through system setup, ensuring a smooth and timely start.
• Ensure I-9 processing is fully compliant with Federal Guidelines; monitor receipts, track reauthorizations, and resolve discrepancies.
• Follow up on unsigned documents, escalate aging items to Regional Managers and the Senior HR Generalist, and keep pending items moving.
• Cross-train with Senior HR Generalist on leave of absence management and Workers' Compensation responsibilities to provide departmental backup coverage.
• Manage unemployment claims to mitigate organizational risk and ensure accurate, timely responses.
• Respond promptly and accurately to management and employee HR inquiries, with proper follow-up and escalation as needed.
• Input and manage data within the HRIS; generate reports and ensure data integrity across employee records.
• Serve as backup support for other HR team members as needed.

Talent Acquisition
• Support recruiting for club and corporate positions.
• Administer the Applicant Tracking System (ATS), optimize job postings, monitor candidate flow, and serve as the internal ATS expert.
• Conduct background checks and review submittals for accuracy.
• Oversee Indeed sponsorship, monitor budget, posting performance, and maximize candidate volume and quality.
• Utilize job boards, social media, cold outreach, employee referrals, and professional networks to drive candidate activity.

Reporting & HR Programs
• Analyze talent acquisition, turnover, and retention data; build reports and present findings to HR and Operations leadership.
• Promote internal programs such as the Employee Referral Bonus and Fitness Trainer Reimbursement programs across club locations.
• Support VP of Human Resources and senior leadership in executing programs that improve the employee experience and retention.
• Present HR programs and training content to small and large groups, in person and via video.

Preferred Experience

2+ years in an HR Coordinator role, including hands-on experience with HR operations, HRIS management, and leave administration.
• Direct experience managing employee records, I-9 compliance, onboarding workflows, and personnel transactions.
• Familiarity with leave of absence administration (FMLA, ADA) and Workers' Compensation processes.
• Experience with ATS platforms, full-cycle recruiting, and sourcing across multiple channels.
• Proven ability to manage unemployment claims and HR compliance documentation.
• PHR or SPHR certification preferred, not required.
• Strong working knowledge of employment law and HR best practices.
• Experience with HRIS systems and comfort managing sensitive employee data.

• Associate's or Bachelor's degree in Human Resources or a related field, or equivalent combination of education and experience.
• Proficiency in Microsoft Office and strong analytical skills.
• Exceptional attention to detail, follow up, organization, and ability to manage multiple priorities.
• Strong written and verbal communication skills; ability to present to groups of all sizes.
• Thrives in a fast-paced environment, where multi-tasking is required.
• Demonstrates a high degree of accountability and personal drive.
• Ability to handle confidential information with professionalism and discretion.
• Positive, service-oriented approach to working with employees and managers at all levels.
• Must be at least 18 years of age.

Work Environment

This position operates primarily in a professional office environment with some field presence required for club visits, new club openings, and hiring events. Standard office equipment is used daily. Occasional lifting of 15+ pounds may be required
