IDVA-CENTRAL OFFICE CHIEF OF STAFF ASSISTANT

Position Overview: This position serves as a Staff Assistant, working closely with the Chief of Staff to support programs through technical and sensitive administrative work. The role partners with leadership to support policies, projects, and day-to-day operations, while also serving as a liaison with internal teams, government partners, and veterans' organizations to ensure smooth communication and coordination. Responsibilities include supporting projects, preparing reports, and coordinating meetings.
Essential Functions: Under administrative direction of the Chief of Staff (COS) of Veterans' Affairs, functions as staff assistant in varied activities emanating from and contributing to Agency programs, performing a wide variety of highly technical administrative duties. Functions as staff assistant to the Chief of Staff (COS) in varied activities emanating from and contributing to agency programs, performing a wide variety of highly technical and special assignments of a sensitive and/or controversial nature. Confers with Chief of Staff (COS) to develop new and revised policies and procedures that impact the Agency programs. Serves as the Chief of Staff (COS) liaison in working with the Agency senior management, staff, City, County, State and Federal government officials and veterans' organizations regarding veterans' programs, and the development, interpretation, and implementation of programs. Coordinates and conducts project status meetings as needed, document, complete accurate and timely minutes of meetings, ensures their distribution and enter data into databases. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications: Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration. Requires two (2) years of professional experience in a public or private organization.
Preferred Qualifications: Three (3) years of professional experience in the coordination and completion of special projects and reports which include evaluating existing and proposed programs, policies, and procedures for a public or private organization. Three (3) years of professional experience serving in a liaison capacity. Two (2) years of experience compiling large amounts of data for reports. Two (2) years of professional experience developing office practices, policies, and procedures. Two (2) years of experience in the utilization of MS Word, Excel, Outlook, Teams, or other software programs.
Conditions of Employment: Requires ability to pass a background check. Requires ability to travel in the performance of duties, with overnight stays as appropriate. Requires appropriate, valid driver's license. Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties. Overtime is a condition of employment, and you may be required to work overtime including scheduled, unscheduled, or last-minute overtime.
