Under the direct supervision of the Maintenance Manager, the Inventory Specialist is responsible for the receiving, organization, resupply, accountability, and distribution of service consumables, plumbing components, job materials, tools, rental equipment, and operational assets required to support daily branch operations. This role serves as the central point of coordination for inventory control, material readiness, and warehouse organization by maintaining accurate inventory levels, monitoring usage trends, organizing storage areas, tracking company assets, and ensuring field and shop personnel have the materials and equipment required to perform work efficiently and safely. The Inventory Specialist maintains continuous communication with local operations leadership regarding inventory usage, shortages, replenishment needs, receiving activity, and accountability reporting. This position also works closely with the Purchasing Team to coordinate timely procurement of materials, supplies, tools, and consumables necessary to support maintenance activities, deployments, repairs, and operational demands.

Inventory Control, Warehouse Organization & Material Management
  • Maintain accurate inventory levels of operational materials including service consumables, plumbing components, electrical parts, HVAC materials, fittings, hoses, pumps, and related supplies.
  • Organize and maintain clean, safe, and efficient warehouse, sea-can, staging, and storage areas with clearly labeled inventory and designated storage locations.
  • Ensure materials, tools, and supplies are properly stored, protected from damage, and readily accessible to authorized personnel.
  • Monitor inventory usage trends and communicate replenishment needs to management and the Purchasing Team.
  • Perform routine cycle counts, inventory audits, and physical inventory inspections to ensure inventory accuracy, organization, and accountability.
  • Maintain accurate inventory records within inventory management systems, spreadsheets, or other tracking platforms.
  • Ensure receiving, staging, and storage areas remain organized, safe, and operationally efficient.
  • Assist with maintaining compliance with applicable warehouse safety practices, material handling procedures, and fire code requirements.
Receiving
  • Receive and inspect incoming deliveries of supplies, materials, tools, consumables, rental equipment, and operational assets for accuracy, completeness, and condition.
  • Verify packing slips, purchase orders, transfer documentation, and delivery quantities against received materials.
  • Document and report damaged, missing, incorrect, or non-conforming materials to management and the Purchasing Team.
  • Coordinate unloading, staging, labeling, and proper storage of incoming materials and equipment.
  • Maintain accurate records of received inventory, assets, and equipment within inventory tracking systems or documentation logs.
  • Assist with intake, tracking, and accountability of rental equipment and company service assets entering or leaving the facility.
  • Coordinate communication with operations and maintenance personnel regarding newly received materials, urgent deliveries, or special handling requirements.
Tool & Equipment Accountability
  • Track and manage company issued tools and equipment, to ensure accountability and proper condition.
  • Maintain organized tool storage areas, supply cages, and material staging locations.
  • Coordinate check-in/check-out procedures for tools and equipment when applicable.
  • Identify lost, damaged, or missing tools and report discrepancies to management.
Procurement & Vendor Coordination
  • Coordinate with the Purchasing Team to order and replenish operational supplies, consumables, tools, and materials in a timely manner.
  • Assist in identifying material requirements based on workload, maintenance schedules, fleet growth, and operational demand.
  • Assist with vendor communication regarding deliveries, shortages, returns, or damaged materials when needed.
  • Monitor stock levels to prevent shortages, delays, or operational disruptions.
Operational Support & Communication
  • Maintain regular communication with Maintenance Managers, Operations Leads, and field personnel regarding inventory status, material availability, receiving activity, and operational needs.
  • Furnish inventory usage reports, accountability reports, and inventory status updates to management as requested.
  • Coordinate orderly distribution of materials, tools, and consumables to field and shop personnel.
  • Support emergency service response and operational readiness by ensuring required materials and supplies are available when needed.
  • Collaborate with management to anticipate operational needs based on workload, scheduled projects, fleet growth, and upcoming events.
Essential Functions
  • Maintain effective communication with management and team.
  • Regularly lift, move, and organize inventory items, including heavy parts and equipment.
  • Stand, walk, bend, and reach for extended periods while performing inventory and warehouse tasks.
  • Operate material handling equipment such as pallet jacks and carts.
  • Work both independently and as part of a team in a fast-paced, hands-on environment.
  • Maintain organization and attention to detail while managing multiple priorities.
  • Follow all company safety policies and procedures.
Certificates, Licenses
  • DOT Health Certification
  • Valid Driver's License
  • Must maintain a clean DMV record.
Skills Required
  • Strong organizational and inventory management skills.
  • Attention to detail with a high level of accuracy.
  • Basic knowledge of plumbing, electrical, HVAC, or mechanical parts is preferred.
  • Ability to use inventory tracking systems, spreadsheets, or similar tools.
  • Strong communication and teamwork skills.
  • Problem-solving mindset with the ability to anticipate needs and prevent shortages.
  • Ability to prioritize tasks and manage time effectively in a dynamic environment.
  • Proficiency in Microsoft Office.
Abilities

To perform this job successfully, an individual must be able to carry out each essential duty satisfactorily. The requirements listed represent the knowledge, skills, and abilities necessary for the position. This role requires the ability to sit or stand for extended periods; use hands and fingers; and stoop, crawl, bend, twist, reach, and crouch as needed. The individual must be able to perform essential duties with minimal supervision and be capable of lifting up to 50 lbs and dragging up to 185 lbs.
