Administrative Assistant – Public Works - City of Bloomfield
Make an impact behind the scenes of essential city services! The City is seeking an organized, detail-oriented professional to support the day-to-day administrative operations of our Public Works Department. This role is ideal for someone who enjoys variety, leadership, and helping complex operations run smoothly.
Works under the general supervision of the Municipal Operations Center (MOC) Supervisor, performing supervisory, complex, and technical clerical duties to support and streamline administrative processes. This position provides administrative support for multiple Public Works divisions, including the Municipal Operations Center, Water Plant, Water Reclamation Facility, Parks, and Aquatic Center, and may also assist the Operations Superintendent.
Received: General supervision from the MOC Supervisor
Exercised: Provides close to general supervision of assigned staff, including temporary or seasonal employees and the inventory clerk
(Performs some or all of the following)
- Manage daily administrative operations; monitor workflow, accuracy, and quality; and recommend process improvements
- Provide full clerical and secretarial support, including reception, correspondence, scheduling, travel arrangements, agenda preparation, and meeting minutes
- Process locate requests and emergency documentation in accordance with established procedures
- Assist with budget preparation, tracking, compliance monitoring, and financial reporting
- Perform bookkeeping duties including accounts payable, invoicing, reconciliation, and financial recordkeeping
- Prepare purchase orders, work with vendors, track inventory, and close purchases in compliance with policy
- Track employee timecards, leave, certifications, training records, and payroll documentation
- Coordinate work orders, customer complaints, project cost tracking, records management, and reporting
- Perform related duties as assigned
Education & Experience
- High school diploma or equivalent
- Coursework in secretarial science or office procedures
- One year of specialized bookkeeping training
- Two years of responsible, related experience
- Or an equivalent combination of education and experience
Knowledge, Skills & Abilities
- Strong knowledge of modern office practices, bookkeeping, supervisory principles, and public records management
- Proficiency with computers, software applications, office equipment, and written communication
- Ability to exercise initiative, independent judgment, accurate recordkeeping, and professional communication
Special Qualifications
- Ability to type at least 45 words per minute
- May be required to operate a vehicle
- May be required to obtain Notary Public certification
Work is primarily performed in an office setting with normal physical activity demands. Occasional lifting of up to 50 pounds may be required. The position involves extended computer use, manual dexterity, attention to detail, and effective verbal communication.
