Office and Assistant Principals' Administrative Assistant

Location: Nauset Regional High School

10 month position, 40 hours/ week; 8 hours a day

Provide a high level of secretarial, administrative and operational support to the Assistant Principal and staff to ensure the efficient operation of the school and a positive, effective, safe learning environment for all students.

Immediate Supervisor: Assistant Principals

Essential Functions:

  • Communication /Community, Student and Staff Relations
  • Act as Receptionist for the School
  • Proactively greet and direct visitors and callers, and maintain a welcoming and service-oriented office environment
  • Interact with students, staff and community members to independently resolve routine issues which may arise and use proper judgement to refer issues to the Assistant Principals as appropriate
  • May assist with preparing and distributing internal and external announcements, newsletters, notices and mail
  • Act as liaison with bus company
  • Act as a backup for verifying student notes and facilitating student check-ins and early dismissals
  • Secretarial/Administrative Support
  • Provide Secretarial/Administrative support to Assistant Principal, including taking and responding to messages, filing, copying and maintaining appointment calendar
  • Distribute faculty/office mail
  • Provide general office support, assisting staff members as necessary to ensure smooth flow of daily operations of the school
  • Perform other appropriate duties as assigned by immediate supervisor or other suitable administrator
  • Recordkeeping/Database Administration/Reporting
  • Assist in maintaining student data in Student Information System and maintaining student records
  • Track student discipline through DOE reporting system
  • Track staff attendance in Accounting and Student Information Systems
  • Human Resources/Payroll Administration
  • Process weekly payroll sheets/track staff attendance
  • Record and process personal and professional leave requests
  • Coordinate substitute coverage, including daily monitoring of substitute coverage needs, entering substitute openings in online system and conducting outreach as necessary to secure substitute coverage
  • Assist staff members and substitutes with using online substitute system
  • Greet substitutes upon arrival and provide information regarding school/assignment as needed
  • Share substitute information and feedback with Human Resources
  • Events/School Operations/Facilities Safety & Security
  • Maintain Teacher supply closet
  • Assist with coordination of building events
  • Support School security procedures with visitors, vendors and staff
  • Maintain visitor log in/out and operate ID scanner equipment
  • Collect/submit CORI background checks for visitors, volunteers and vendors
  • Act under the direction of the Principal to assist in coordination of security drills (fire drills, lock-downs, crisis drills) with town officials and staff, following District/School emergency protocols
  • May assign key cards to appropriate staff and substitutes

Qualifications:

3- 5 or more years of Secretarial / Administrative or related experience

3- 5 or more years of experience in a school office environment preferred

Knowledge of:

  • Standard office and secretarial procedures
  • School Policies and Procedures
  • Student and School Health and Safety regulations
  • District organization, operations, policies and objectives
  • Various word processing and software programs
  • Correct use of the English language including proper grammar, spelling, punctuation and vocabulary
  • Proper and polite telephone etiquette

Salary: $29.71 - $39.54 per hour
