Skelton Taintor & Abbott is seeking an experienced Office Manager for the Lewiston, Maine office. This role is the firm's key operational lead-overseeing daily activity, supporting the Management Committee's policies, and ensuring consistent, efficient operations across all practice areas. The Office Manager serves as the main connection between staff and leadership, executing the firm's strategic and operational plans with a high level of independence but without making strategic decisions on their own.
Requirements of the Office Manager:
• Bachelor's degree in business administration, management, or related field (preferred)
• Ability to commute to Lewiston, Maine, Monday - Friday.
• Prior experience in law firm or other professional services management
• Strong understanding of law firm operations, billing, and workflow
• Excellent leadership, communication, and organizational skills
• Ability to manage multiple priorities and work independently
• High emotional intelligence and ability to navigate partner dynamics
• Proficiency with legal practice management software and office technology

Responsibilities of the Office Manager:
• Oversee daily office operations and ensure smooth functioning across all departments
• Implement and maintain standardized workflows for transactional and litigation practice areas
• Ensure consistent use of case management systems, templates, and checklists
• Manage vendor relationships (IT, copier, software, office supplies, etc.)
• Oversee facilities, equipment, and office technology
• Work with billing department to ensure timely billing and collections
• Assist in preparing financial reports for the Management Committee
• Track operational expenses and identify cost saving opportunities
• Support annual budgeting and forecasting
• Ensure compliance with insurance, licensing, and regulatory requirements
• Supervise staff performance, workload, and professional development
• Conduct staff evaluations and coordinate attorney evaluations
• Manage recruitment, onboarding, and training for staff
• Address staff concerns and resolve conflicts
• Perform other HR Duties as required
• Confirm compliance with all bar admission renewals for attorneys
• Serve as the communication bridge between staff and the Management Committee
• Ensure that firm policies are clearly communicated and consistently applied
• Coordinate meetings, agendas, and followup action items for the Management Committee
• Prepare operational reports and updates for partner meetings
