Job Description: As an Onboarding and Operational Support Specialist, you will play a central role in delivering a smooth, compliant onboarding experience for new clients as they transition to KA. You will gather and validate critical plan and client information to ensure accurate setup in our systems and a seamless handoff to the assigned service team. Working directly with carriers, you will confirm plan details, establish access, and help ensure the client's first interactions with KA are timely, clear, and positive. When key client contacts change, you will proactively coordinate carrier access updates and reintroduce the client to KA's client-experience-focused service model.

Job Details:
Position Title: Onboarding and Operational Support Specialist
Position Type: Full-time, Exempt
Position Location: Burnsville, MN
Pay Range: $60,000.00 - $90,000.00. Pay is based on many factors including but not limited to education, skill, experience, training, certifications, and other business needs.
Key Responsibilities:
- Understand and actively work toward agency goals and strategies
- Understand and actively round accounts by offering additional agency services
- Manage New Client Experience
- Conduct welcome/introduction call
- Oversee implementation timeline, tasks, and client expectations
- Engage service team in correct set-up of systems by providing required information
- Review with service team online enrollment platform for accuracy, effectively coordinate account handoff to assigned Account Executive and provide Account Executive concerns regarding current program or administration issues
- Manage Carrier and Vendor Systems Information
- Oversee carrier/vendor portal access for internal team and clients
- Maintain documentation of portal access, portal capabilities/services, and access process for internal team and clients
- Manage Agent of Record (AOR) process from Sales/Service Team to Carrier Communications
- Manage Delivery and Process Improvement
- Work to continuously improve process and client experience
- Assist with maintenance of Standard Operating Procedures (SOP), create and maintain templates, identify areas of potential automation for efficiency and accuracy
- Assist with maintaining and updating Benefit Manuals, Proposal Templates, and other documents to maintain compliance and branding message
- Complete additional projects as developed and assigned by your supervisor or management
Qualifications:
- Valid Minnesota Life/Health Insurance License
- Minimum of 3 years large business group life/health Customers Service or client facing compliance experience is preferred
- Prior experience using Applied EPIC is preferred but not required.
- Ability to work collaboratively across departments.
