Order Entry Specialist
Location: Orlando, FL 32810
Position Overview
The Order Entry Specialist is responsible for the accurate and timely entry of complex technical orders into the ERP system. This role requires a high degree of attention to detail to verify that technical specifications, quantities, and pricing align with engineering standards and customer requirements. Acting as a final check for accuracy, you will play a critical role in ensuring that "buildable" orders reach the production floor without ambiguity.
Key Responsibilities
- Technical Order Entry: Input detailed customer orders, including part numbers, dimensions, and material specifications, into the company's ERP system.
- Order Scrubbing & BOM Review: Review and "scrub" incoming orders for technical accuracy; verify the Bill of Materials (BOM) to ensure all subassemblies and components are correctly listed.
- Unit Configuration: Utilize proprietary selection software to "build" custom unit configurations, translating sales quotes into precise instructions for the production team.
- Discrepancy Resolution: Proactively identify "technical mismatches" (e.g., incompatible electrical phases or footprint constraints) and collaborate with Sales and Product Engineers to resolve them.
- Lifecycle Monitoring: Monitor the "order-to-production" cycle, ensuring technical submittals, performance data sheets, and engineering approvals (ETOs) move quickly to maintain delivery timelines.
- Change Management: Process "Change Orders" by updating existing entries across all systems to prevent manufacturing errors or shipping delays.
- Department Liaison: Act as a bridge between Sales, Engineering, and Production to resolve technical discrepancies or lead time issues.
- Record Keeping: Maintain digital and physical archives of engineering submittals, quotes, and final order confirmations.
Qualifications
- Education: High School Diploma or GED equivalent required.
- Experience: 2-4 years of experience in technical order entry, preferably in a manufacturing or HVAC environment.
- Technical Skills: Advanced proficiency in ERP/MRP systems and Microsoft Excel; highly proficient with the Microsoft Office Suite.
- Documentation: Ability to read and interpret basic engineering drawings, submittals, or technical specification sheets.
- Communication: Strong written and verbal skills in English, specifically for explaining technical order issues to non-technical departments.
- Aptitude: High attention to detail and the ability to work effectively in a fast-paced, rapidly changing environment.

- Activity: Prolonged periods of sitting at a desk working on computers; ability to follow a work schedule based on production and business needs.
