Our Financial Planning client located in Mullica Hill, NJ is seeking a Part-time Administrative Assistant to join their team.
Position Summary
In this role, you will be the first impression for the firm. You'll keep the office running seamlessly, support advisors and client experience team with daily operations, and ensure that every client interaction reflects the hospitality and attentiveness. If you close the loop, sweat the details, and take pride in doing ordinary things in extraordinary ways, you'll fit right in here.
Job Duties and Responsibilities
• Answer and route incoming calls with professionalism and genuine warmth - every caller should feel like a priority
• Greet clients in person and make them feel at home - escort them to the conference room and ensure they are comfortable before their meeting
• Maintain a polished office environment - ensure the reception area, lobby, conference rooms, and common areas always reflect the quality and care our clients expect
• Organize, prioritize, and track daily tasks - close the loop on follow-ups and keep things moving without being asked
• Schedule meetings and manage calendars for advisors - coordinate logistics across our team and with clients with accuracy and care
• Handle mailing, scanning, and document processing for client accounts - promptly and accurately
• Assist in preparing client paperwork and forms - following our standard operating procedures
• Step in wherever the team needs support - we are a collaborative, all-hands culture and no task is beneath anyone
Knowledge/Requirements
• High School diploma or higher
• 3+ years of administrative experience
• Experience in the industry is preferred but not required
• Comfortable with technology and able to quickly learn new platforms
• Proficiency in Microsoft Office suite (Outlook, Teams, Word, and Excel)
• Must pass a background check and submit fingerprints to be kept on file
Additional Information
• Office Hours: Monday through Friday, 8:30 am to 3:00 pm in office
• Paid Time Off: 15 days annually (after 90 days of employment)
• Reports to Leader of Client Experience Team
Pays $20.00-$25.00 an hour
No medical benefits will be offered for this Direct Hire opportunity
