Personnel Clerk
Department: Human Resources
Reports To: Director of Human Resources
Location: Kimball, Michigan FLSA Status: Non-Exempt Employment Type: Part-Time
Compensation: Hourly, Based on Experience
Position Summary:
The Personnel Clerk supports the daily operations of the Human Resources Department by facilitating on-boarding, maintaining employee records, ensuring policy compliance, recruiting and assisting with employee relations processes for Summit Management Consulting managed schools. This role serves as a key point of contact for staff members, administrators, and external partners, ensuring a high standard of accuracy, confidentiality, and professionalism in all HR functions.
Essential Duties and Responsibilities:
Maintain and update personnel files (paper and electronic)
Track employee status changes, certifications, and licenses
Ensure compliance with federal, state, and district record-keeping requirements
Assist with posting job openings and collecting applications
Schedule interviews and coordinate communication between candidates and administrators
Process background checks and other pre-employment requirements
Prepare and distribute new hire paperwork
Assist employees with benefits enrollment and other HR forms
Process terminations or retirements, ensuring records are complete
Enter employee information into HRIS or payroll systems
Generate basic reports for HR or payroll purposes
Ensure personnel files meet legal and contractual requirements
Support audits or reporting for Michigan public school requirements
Respond to staff inquiries about HR policies or procedures
Assist with HR-related correspondence and communications
Perform other duties as assigned
Qualifications:
High school diploma or associate degree; experience in education administration preferred
General understanding of HR processes, payroll, and benefits administration
Proficiency with office software (Excel, Word); proficiency with HRIS systems preferred
Discretion and ability to handle confidential information
Excellent attention to detail, accuracy, and problem-solving skills
Ability to manage multiple deadlines and maintain confidential information with discretion
Strong customer service and communication skills to effectively interact with employees and vendors
Ability to interpret and apply policies, procedures, and regulations related to school HR office
Working Conditions:
Office environment within a school central office
May require occasional extended hours to meet deadlines
Frequent use of computers, standard office equipment and software applications
