Program Assistant I
Northern State University is seeking a self-motivated, energetic person for the Program Assistant I position with the College of Arts & Sciences. The Program Assistant I will provide insight and efficiencies in processes and procedures in the College of Arts and Sciences, help implement/fulfill the actions outlined in the strategic plan, collect and analyze information for the Arts and Sciences to ensure fiscal responsibility as it relates to the budget revenue and expenditures as well as program-level activities in each department, and provide guidance and supervision to the Senior Secretary position in Nursing and Science& Math. The Program Assistant I works in a typical office environment, Monday through Friday, 8am to 5pm.
General Duties:
- Assists Arts and Sciences with operations in daily functions, such as purchasing, scheduling, budgets, travel processes and procedures, and other related operations in the College.
- Manages data and information collected from Arts and Sciences to ensure compliance with state policies and regulations as well as accrediting bodies.
- Manage budget as it relates to Arts and Sciences semester functions, daily operations, monthly revenues and expenditures, and strategic activities.
- The Program Assistant I will be integral in fulfilling the strategic efforts of the College of Arts and Sciences, which include recruitment and retention activities and working with the public.
Specific Duties:
- Evaluate and create efficiencies in processes and procedures in Arts and Sciences for daily operations. Develop datasets using resources in place to effectively do so. Document and report said data for program-level decision making.
- Collect information related to Arts and Sciences faculty and staff, e.g., workloads, schedules, etc., and create efficient practices related to said collection. Analyze compiled data and ensure it meets appropriate standards as defined by state regulations and accreditors requirements. Disseminate information when appropriate and be collegial with Arts and Sciences faculty and staff as data are presented and decisions are made.
- Use SDBOR systems, e.g., Banner, to monitor and analyze weekly and monthly budget activity. Ensure Arts and Sciences is within budget for monthly functions, and request funds, if need be. This includes Northern indices but also Norther Foundation indices, where donor funds are monitored and maintained. Create appropriate data sets to review revenues and expenditures and discuss said data to ensure fiscal responsibility of state and donor funds.
- Project design and management are two key attributes of this role. Tasks to build new outreach programs, new college-wide actions, and assist faculty and staff to do the same will help connect students with the Arts and Sciences. The dean may have additional tasks needed as well.
Knowledge, Skills, and Abilities:
- Knowledge of office procedures; record keeping procedures; and policies, procedures, activities, and programs applicable to the office.
- Ability to train subordinates and monitor performance; deal effectively with faculty, staff, students and the public; organize work effectively; maintain accurate records; always be aware of the importance of and practice confidentiality.
- Skilled in various office equipment, computer usage and software programs.
- Ability to conduct appropriate data analyses and management as it relates to data systems in the Arts and Sciences.
