Job Summary: Handles and directs incoming telephone calls and performs essential receptionist duties. Assist in preparation of paperwork for anticipated admissions and provides backup to admissions team. Oversees part time receptionists and is responsible for front desk scheduling and delegation of receptionist duties.
Essential Functions and Responsibilities:
- Answer and direct calls.
- Maintain Business Office filing system.
- Typing, data entry as directed.
- Prepare preliminary Admission Agreement for patients and/or family members for signing.
- Admissions backup/coverage when needed.
- Organize monthly billing statements for mailing.
- Maintain facility petty cash.
- Process deposits and withdrawals for Resident Trust Fund: balance account at month end, provide copies of reports to Accounting. Prepare quarterly statements for mailing.
- Mail monthly statements for the Accounting office.
- Maintain postage in meter.
- Maintain and record personal items in safe.
- Assist with Accounts Payable as needed and submit to Accounting as required.
- Conduct and record transactions for Patient Trust/deposits.
- Maintain scheduling for the Private Dining Room.
- Assist residents in purchasing meals; arrange transportation and connecting them with village services as needed.
- Direct and oversee Emergency Protocols for Guests and Emergency Response Personnel.
- Monitor Guest sign- in and parking issues.
- Maintain and update the resident Elopement Book.
- Attach Resident Photos in system.
- When necessary, have Resident and/or Responsible Party sign admission paperwork. Explain all papers prior to be being signed.
- Enter Resident information into system in order to generate Resident's face sheet. Deliver multiple face sheets to appropriate nurse's station.
- Conduct tours for prospective residents and families.
- Assist all members of the Administrative Team as directed.
- Scheduling of reception area coverage.
- Oversees part time receptionist and responsible for delegation of receptionist duties.
- Must be at least 18 years of age.
- Must have reliable transportation and the ability to commute.
- Educational, Physical, and Other Requirements:
- Must pass Level 2 background screening through the Florida Clearinghouse (Learn more: https://info.flclearinghouse.com)
- Must possess the ability to deal tactfully with personnel, residents, family members, visitors and the public.
- Ability to follow written and oral instructions.
- Must meet on the training requirements.
- Must dress professionally and act in a manner that best represents the facility and staff.
- Must be comfortable speaking over PA system in facility.
- Must be familiar with facility procedures and personnel in order to assist guests, residents and staff.
- Knowledge of basic clerical skills.
- Two or more years of experience with a computer.
- The employee must be able to perform the essential functions of the position with or without reasonable accommodations, Physical requirements may include frequent use of hands to finger, handle or feel objects, tools, or controls; reach with hands and arms; talk or hear. The employee may be required to lift, stand, walk, sit, climb or balance, stoop, kneel, crouch, or crawl and smell. Vision abilities may require close vision, distant vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
- For the safety and security of our residents and employees, you must be able to read, write, and verbally communicate in English, which is the most universally used language of our residents and employee population.
- Work on nights, weekends, and holidays and have the ability to work on other shifts as needed.
- Must be able to frequently lift and/or move up to 10 pounds, and occasionally up to 30 pounds.
- Requires standing and sitting for long periods of time and frequent walking.
- Must be capable of maintaining regular attendance
- Must meet all local health regulations and post offer physical exam.

- Must maintain a professional, respectful, friendly demeanor with all residents, family members, guests, and staff at all times.
